For All Dealers
ECi Remote Server Backup Solution for DDMS (56772)
The ability to upgrade your server to Windows 2008 has been available with DDMS installations since May of 2009. Dealers who have upgraded have enjoyed increased performance and capacity to expand. However, one hurdle was a challenge: Microsoft® Windows™ 2008 dropped support for the backup tape drives dealers have used for years.
While cartridge alternatives are available, ECi has come forward with the ECI Remote Server Backup service. After successful beta testing among DDMS dealers we are ready to release the service, and provide a much needed level of protection against business interruption as the result of data loss.
“Requests for a remote service have come from customers in every industry we serve,” says Tom Gerrity, SVP of Operations for ECi. “This service fills a critical disaster recovery need for every business. As more businesses rely on technology to automate operations, disaster recovery solutions are more important than ever. “
Loss of data could cause a business to fail.

Service is subscription based and offered at three levels: Database Service which includes daily back up of databases, with back-ups kept for 30 days, and monthly for 18 months; Full OS Service includes everything in Database Service plus daily back up of entire business operating system; and Full Disaster Recovery which includes everything in Level 2 plus 7 years of data retention, plus an optional hosting service which would reduce downtime due to a disaster to a matter of hours rather than days.

Level III Detail for A/R Postings (56717) Lowers Credit Card Fees
When you receive and process customer credit card payments in Accounts Receivable or from ECinteractive, the system will be able to pass Level III line item detail to credit card processors like NET1 Payment Solutions.
This Level III line item detail may include:
- selling price
- item quantity
- unit of measure
- a generic item name: "Office Supply Products/Furniture"
- transaction category number: 001
- line item tax (for Visa)
- extended line item total (for Visa)
Some larger corporations or government agency procurement organizations wish to see this detail on their credit card bills for auditing purposes. Other customers may not. You can activate Level III detail per customer. If you already have Level III processing set up, A/R payments will automatically include this data whether posted online via or in DDMS, with no additional action required on your part. This functionality can lead to lower fees in credit card processing. For more information, contact your credit card payment or merchant account services provider, or contact NET1 Payment Solutions.
Display Partial Credit Card number in Order Entry (56591)
When you install software version 8.23, all but the last four characters of a customer’s credit card on record are automatically hidden in Order Entry's Totals tab. For example, American Express cards contain a total of 15 characters. The system hides 11 by default and shows only the last four.
This applies when selecting existing credit cards as the payment method in O/E. However, if a credit card is scanned or manually entered, the entire credit card number is shown for verification purposes.
To enable this new feature, we added a new parameter in the Keyop Order Entry General Configuration window: Display Credit Card Numbers in OE. This box is left blank (N) by default, indicating to hide all but the last four credit card digits.

Streamline Credit Returns with Global Return Reason (50965)
When performing a credit return, an order taker previously had to set the reason for each line item. Now, the Reason field will default to the option you specify in the Global Credit Data window's Reason field. The new Return Reason box acts as a default when several, or all line items, are being returned at once.
The list of available reasons comes from the Return Reason fields in the (LGB) Credit Order Entry Parameters screen.
(The Return Reason box is only enabled when selecting to credit the order by invoice number or by customer P/O. When selecting to credit the order using the customer and item method, the Return Reason box is disabled.)
As you add items to the credit return, the system will apply the default reason unless you select otherwise. Applicable fees, if any are set up in (LGB), are applied for the return reason as if they were added line by line.

Select Preferred Vendor for Any Backordered Line Item (56653)
Now you can specify a preferred vendor for any backordered item in Order Entry order and change mode to become the primary vendor when creating the short-buy P/O. It lets you more easily manage purchase orders for regular backorders and for drop ship orders through the automated and short-buy process.
Changes are only allowed until the item is on a purchase order. The preferred vendor feature can be used with both the automated and manual short-buy functions. Receiving the purchase order and billing the lines to the customer may use the A/P Post PO flow. Order History now shows each item’s Preferred Vendor.
To get started, you must set a parameter in the Keyop Parameters Order Entry General Configuration window: Allow Preferred Vendor.
Another parameter lets you toggle the Preferred Vendor feature for individual system users. Go to the Salesperson Price Check tab and set the Allow Preferred Vendor box to Y, as shown below.

Flag Line Items to Ship Direct in Order Entry, Manual Short Buy (56750)
Now you can include stock, regular backorders, and ship direct all on a single order.
Order Entry order and change modes now allow salespeople to flag backordered line items to Ship Direct to the customer.
Previously if both ship direct and non-ship direct items were added to an order for the same vendor, the system was placing both types of items on the same P/O. Ship direct items are now placed on a unique P/O for each vendor/invoice combination.
Changes are only allowed until the item is on a purchase order. The Ship Direct option only works with the manual short-buy process. Receiving the purchase order and billing the lines to the customer may use the A/P Post PO flow. Order History now shows each item’s Ship Direct flag.
Note: This feature is not to be confused with the National Drop Ship program; NDS items must be ordered separately from items that are not being delivered via NDS.
To get started, you must set a parameter in the Keyop Parameters Order Entry General Configuration window: Allow Ship Direct.

Warn Before Deleting Orders With Posted A/R Deposits (52843)
If you specify to delete all the line items from an order where the order has a deposit, the system displays a warning message. If you select to delete the order, you must enter the correct password.
The password is set in the Pwd If AR Deposit Exists When Deleting Entire Order box in the Keyop > Parameters > Order Entry window.
Note: You must also manually handle the deposit in the Accounts Receivable Posting window. You may wish to apply the deposit .

Add Customer Tax District Report to SQL Preview Reports (56848)
There is a new report available for tax reporting by Customer Shipto addresses with Tax Districts. To add it to Preview Reports, use the "Set up Reports" Task, navigate to the ECI2 folder, and select the XML report definition file for Customer Shipto addresses with Tax Districts.

Ease Sales Tax Reporting — Export Monthly Sales Data to CCH (56848)
You can export your monthly sales data to a tab-delimited text file to be sent so that CCH can generate monthly tax reports by state for your dealership.
This feature is dependent upon a CCH Tax Import subscription, which allows you to automatically populate address-specific tax tables. To subscribe, please contact ECi Sales.

Harmonized Sales Tax (HST) in Accounts Payable Invoice (56694)
DDMS has added functionality in graphical Accounts Payable to reflect changes in Canadian tax law effective July 1.
In the maintenance release DDMS 8.22.20, we added new parameters and an AP Invoice tab button to Add HST. See implementation instructions for Canadian dealers.
With DDMS 8.23 and higher: if you set the new (LC) parameter for HST district, A/P Invoice Distribution provides the option to Apply HST; otherwise, the option is to apply GST (Goods and Services Tax). Clicking the button adds the GST or HST line; once the appropriate lines have been added, the option will be disabled, but you can edit the tax amount as needed, and then Accept the line.

Set Delivery Due Date in Order Entry for Picking Manifest (56752, 56753)
Many vending service companies set up routes to restock their customers on scheduled days — such as for delivery of coffee, break room supplies, and other regular consumables.
DDMS has added a drop down box in the Order Settings and Item Settings dialog boxes in Order Entry that allows you to select a due date from a calendar.
If you click the drop-down calendar field, it will default to the text box dates if previously set or the current system date, but you can scroll to different months, select other dates, and clear the date fields as needed.
Once this date is selected, it is used on reports, facilitating the creation of delivery schedules.
In the (TM) Picking Manifest screen, you can use new fields to limit the scope of the results. Similar fields in (L8P1) Additional Manifest Parameters let you set defaults.
You can set a Default Due Date (C/N/S/blank):
- Current Day: set due date field to system date
- Next Day: set due date field to Next business day, according to (LF) parameter
- Specify Day: prompt for due date
- Blank (default): no due date limit, returns all tickets.
You can also specify how to Limit to Due Date (U/E), compared to the Sales Order line:
- Up to date (default): get all lines with a due date specified up to and including the date specified
- Exact date: get all lines that are an exact match of the due date specified
You can also specify whether records without a due date set are included, using Blank Due Date I/E/0 Include, Exclude, or Only.
A SQL Due Date Report in calendar format — "Weekly Activity By Route" — is available but does not automatically appear in Preview Reports. To add it to your list, use the "Set up Reports" Task, navigate to the ECI2 folder, and select the report definition file SalesOrderReport.xml, and select Weekly Activity By Route.

For Supplies Dealers
Price Plans: Refigure Gross Profit (56667), Password Protect (56604)
The best time to watch your margins is when your costs increase. We've added new global settings in the revamped interface to refigure price plans. When the system refigures Customer Price Plans where a contract is based on a gross profit percentage, your dealer cost increases in turn will raise the customer’s pricing according to the new guidelines you set. You can, for example:
- Specify a percentage with two decimal places above current gross profit percent.
- Set a cap to define how close to list price an item can be increased.
- And more!

We’ve also added a level of security to the Customer Price Plans window to protect confidential information. You can set up a new Price Plan Password in graphical parameters. Users will be prompted to enter a password when attempting to inquire or edit a price plan.
The new INQUIRE password works in conjunction with the current password set in (LE1). By setting both, you have more control over users' access and actions in price plans.
- Giving a user the LE1 password will grant full access.
- Giving users only the new INQUIRE password allows them to view the price plans, but will not let them print, highlight, or copy detail.
- Users lacking both passwords will be completely denied access to price plans.

Get Supplies Network Advance Ship Notices, Electronic Invoices
It's now easier than ever to process Supplies Network invoices, carton counts, carton IDs, and carrier tracking IDs via PSN. DDMS automatically adjusts the quantities and special lines in your orders and your purchase orders.

Deliver to National Accounts for TriMega Point Nationwide (56695)
TriMega Purchasing Association (www.trimega.org) launched a new company called Point Nationwide to fulfill orders from national accounts, where local member dealers in each region make the deliveries.
If you participate in this TPA program, you can receive electronic purchase orders from Point Nationwide, and return Advanced Shipping Notices to communicate delivered lines, and how they were fulfilled, whether from stock or purchase order. Point Nationwide handles tax and billing, and pays dealers on collection.

New Imaging Solutions Via PSN with West Point Products (56736)
Now DDMS and OMD dealers can request stock/price checks, transmit purchase orders, and receive purchase order acknowledgements via the ECi Private Supply Network (PSN) with West Point Products (www.westpointproducts.com), an STMC certified manufacturer or premium replacement laser toner cartridges and provider of related imaging supplies and services.

For Furniture Dealers
Allsteel and HNI (HON, Gunlocke and Paoli) Dealers:
Specify Multiple Ship To IDs per Bill To ID (56363)
New Communication Options are available in the Vendor records for Allsteel and the HNI Companies (HON, Gunlocke and Paoli). You can set up multiple Bill To IDs per vendor, and assign multiple Ship To IDs to each Bill To ID.
The Dealer ID grid is split into two grids: Bill To IDs and Ship To IDs. You can right-click to create a Ship to ID for the selected Bill To ID.
In the PO Communicate window, you can select from the BillTo IDs to populate the S Cust No field, and then select from associated ShipTo IDs to populate the ST Cust ID field.

HNI & Allsteel Dealers: Set ShipCondition to Deliver On/By Date (56676)
We have added a new Ship Condition box in the Communicate P/Os Vendor Options tab. This box works with the Due Date box.

When communicating P/Os where the selected vendor is HNI or Allsteel, this field is visible and enabled. It allows you to specify whether to deliver by or deliver on a specific date. A tag was also added to the .xml file called Requested Type that holds this value.

For Machine Dealers
View Meter Readings in the Last Ten Calls Window (55448)
We have enhanced the Last Ten Calls dialog box in the Work Orders window to display meter reading information, including the meter number, meter reading, and the date.
When you click the Call Detail (F3) tab, the new #, Reading, Date boxes appear. These boxes display the machine’s meter information for up to a total of nine meters.

Search Machine Monitor By Call Number (56432)
Now the Call Number field in the Machine Monitor window is a Search box, where before it only displayed the currently selected call. Now you can look up a specific call number in the grid of calls or in the Schedule tab. You can easily look up a call, and email it to a technician without having to go through the Work Orders window
The Call # box has been enhanced to let you directly enter a call number. Click the Call # box and enter the number of the call. The cursor moves to the row where the call you specified is shown. This applies when retrieving calls in the Calls or Schedule tabs. This feature lets you easily retrieve a call by call number and e-mail the information to the technician without the necessity of accessing the Work Orders window.

Improved Work Orders Cursor Flow from Call Code to Text (55715)
In the graphical Workorders window on the Call Detail tab, you can now press Enter to move directly to the Call Text box after entering a valid code in the Call Code field or the Open Call Nbr field. This speeds up the process of logging or updating a call.

This also applies after selecting the call from the drop down File menu.
After you enter the call code or call number and press Enter, the cursor moves directly to a new, blank line in the Call Text box. If you press Tab, the cursor moves to the Problem Code box.

System Warns Before Deleting Contract Type with Machines (41397)
In the graphical Contract Types screen, the Delete function is password protected.
When you delete a contract type, the system has been enhanced to check whether a machine is currently using the type being deleted. If so, a warning message appears,
notifying you that one or more machines are using this contract type. To continue deleting, click OK, or click Cancel to keep the contract type. If you click OK to continue, you are prompted to enter the Delete password.

Other Changes:
This release includes more than 60 other software changes:
- 54855 Corrected so the user can more easily verify that a P/O is linked to the .xml file name when communicating with Knoll. Now, the output file is named with KNO_(PO Number)_Date.fix so it is easier to locate when sending to Knoll.
- 55809 Enhanced the installation process to handle customers using unsupported client and server operating system configurations.
- 55913 Corrected issues with ECinteractive and is.D-Force2 where the user was being prevented from redeeming more than one promotion dependent upon the "Who Called" field.
- 56196 Corrected so the system does not display an Invalid Procedure error message when crediting a serialized Work Order. Previously this message was displaying for each item being credited.
- 56202 Corrected so when voiding tickets containing serialized machine items, the system properly removes the temporary records from the Z-ACCESS file.
- 56257 Corrected issues when querying for serialized items in the Work Orders window. Previously when searching for a system number beginning with A, for example, the system was not returning any records.
- 56281 Corrected to only allow a maximum contract description of 21 characters when adding new contracts in the Customer Price Plan window. Previously if the user manually entered the description, only 21 characters were allowed, but if the user cut and pasted a description, the system was allowing more than 21. After clicking Save, the user was then prompted that only 21 characters were allowed. The field now only allows 21 characters whether typing or pasting.
- 56298 Corrected so the system properly updates the machine record when leasing the machine through the Serialized Order Entry window.
- 56352 Corrected so when selling a contract in Serialized Order Entry, the Purchase Order number is properly saved and the system also saves the long P/O number rather than the short P/O number.
- 56371 Corrected so the (MA) process compresses the GLD-Batch file. This removes any deleted records before releasing releasing the information to General Ledger. Previously, he GLD-Batch file was retaining deleted records, resulting in system slow downs and other issues when releases general ledger batches.
- 56404 Corrected so when using the Respecify feature in the Furniture Change window, you can change item options and send these changes back to DDMS.
- 56407 Corrected the installation wizard to delay installation of merge modules until after DDMS installation is complete.
- 56428 Corrected so when printing financial reports containing budget information, the system displays data for the previous years and the current year. Previously, the system displayed data for the current year only.
- 56436 Corrected so the Dealer ID for HON does not get repeated for every P/O that is created.
- 56455 Corrected so when Item remarks display in the Order Entry Item Detail tab and the user clicks OK, the Order Entry window properly moves to the front. Previously, the main menu was replacing the O/E window.
- 56470 Corrected so when completing and billing a serialized work order in the Work Order Call Completion dialog box, the user can tab through the boxes to move the cursor to the Tech Miles box.
- 56492 Corrected to speed up the process when building the FIXSERL file for BEI. Previously, the build was taking hours to complete.
- 56541 Corrected so when releasing a third party billing order from a quote to an order, the system does not lose the item's selling price when your force-ship the third party bill items.
- 56558 Corrected so the system allows existing the Substitute List menu in the (EU) screen. This was occurring when deleting an item on a long substitute list.
- 56562 Corrected so the system maintains the tax district for non-tax district items after changing the salesperson or the short P/O on the order.
- 56566 Corrected so the system allows the user to change or add information in the General Parameter boxes in the Delivery Manifest window. Previously after clicking the box to change, the system was not allowing the user to enter the data until the user pressed Backspace.
- 56567 Corrected so the system saves Parameters in the Delivery Manifest window. Previously if the user clicked the Save button, changes were not being saved to Route Parameters.
- 56569 Corrected so the system properly calculates tax totals on the Checkout page in ECinteractive and is.D-Force2.
- 56574 Corrected so if the user deletes an order, the system properly updates the Budget P/O’s total. This has been corrected so when crediting, the entire amount and tax updated the budget.
- 56576 Corrected the system displaying P-Line errors in the ensite.elf file. This applied to purchasing and order entry.
- 56589 Corrected issues with promotions. Previously, if the Uncataloged Cost % field in the (LG3) screen contained data, the cost was being added into the promotional line for the Dollar Off to the web order when it was billed. This occurred when a user applied a Promotion or Coupon to a Web Order.
- 56599 Corrected so when adding Print Groups, if a new one is added above the Unassigned Group, the system properly saves the entry.
- 56611 Corrected so the system does not prompt to assign a system and serial number when final verifying a serialized order containing a backordered machine.
- 56624 Corrected so the system does not display an error message when adding items to the order in the graphical Order Entry window.
- 56646 Corrected so the user can print calls that have a Held status in the Machine Monitor.
- 56655 Corrected so the ServiceTrak hand held device does not display errors when attempting to synchronize more than 40 calls in the Call or Dispatch Monitors.
- 56666 Enhanced by removing protecting record logic in the Inventory and Customer windows. Doing so helps prevent flushes failing when users make adjustments in the Inventory window.
- 56673 Enhanced the Ataman Telnet Server for Version 5.x by verifying the installation, login, and basic functionality required to properly use DDMS software.
- 56681 Corrected so when logging a call for a machine that does not have a contract and later viewing it in the Machine Monitor in the Call Detail tab, the contract’s description of the first record of the Z-C-TYPE file is shown. This information is no longer displayed.
- 56685 Corrected so a Furniture Load Factor item updates the proper Responsibility Center in the P-Line file when the item is created at the end of the order.
- 56688 Corrected to allow building a P/O in the Furniture Order Entry Totals tab. Previously, the system was displaying the No Items Found to Purchase message.
- 56689 Corrected the display of the Purchase Order Communication window when transmitting to Kimball.
- 56692 Corrected so the Format Exception error message does not appear on ServiceTrak hand held devices when attempting to synchronize information.
- 56705 Corrected so when selecting the Furniture Management documentation in the DDMS User Guides Menu, the online documentation opens.
- 56709 Corrected so the system prompts the user to accept a different item when the item has zero on-hand quantities and has been set up with an alternate item. This applied when setting up the item in the text-based (E) screen with an Alternate Type of Y and setting a alternate item. The Text-based (G) screen properly prompted the user. The graphical Order Entry window did not.
- 56716 Corrected so if the user deletes two line items from an A/P Invoice, the system does not display the Invalid Use of Null error message.
- 56726 Corrected so the system properly posts data to the Batch file from the Bank Reconciliation window when the dollar amount ends in zero (123.40).
- 56727 Corrected so when communicating to HON, the Next button is not available until you select the proper ShipTo address. The Next button is now inactive until data is shown in the required St Cust ID box.
- 56731 Corrected looking for a credit in O/E when searching by using long and short P/O numbers. If the P/O number is unique, the order is displayed. If the P/O number is on a ticket in the P-Master file, it is not shown because it must be an Invoice (status B). However, if it is only stored in a Journal, the system shows the order, displaying the first P/O found.
- 56750 Corrected so ship direct line items do not get added to non-ship direct orders. Previously if both ship direct and non-ship direct items were added to an order for the same vendor, the system was placing both types of items on the same P/O. Ship direct items are now placed on a unique P/O for each vendor/invoice combination.
- 56751 Corrected issues with CCH taxing. When the customer's Taxable field is left blank, the system uses CCH tax. If the customer's Taxable flag is set to N, it does not.
- 56760 Corrected so the sets the proper next serialized bill date when the Auto Renew parameter is set to X.
- 56763 Corrected so the system uses the proper minimum gross profit percentages set up for the customer when placing orders in graphical Order Entry.
- 56772 Corrected the Windows 2008 Server Backup Script. The Startup sections were added to the end of the script for the SQL service.

- 56790 Corrected by allowing the user to create Laundry List Headers longer than 15 characters in length.
- 56797 Corrected the Furniture Order Entry New Project Dialog Box to disable changing the customer when retrieving an existing project using the Query dialog box or when manually entering the project number. The customer name and number are now disabled in this dialog box.
- 56803 Corrected direct ship issues when setting the preferred vendor in the (SCR) screen. Previously the system was not allowing the preferred vendor to be set after the first line was entered on the order.
- 56805 Corrected so when changing an order containing ship direct items, if the user toggles the ship direct setting off or on, the system properly saves the setting.
- 56810 Enhanced by adding context sensitive help numbers to the DDMS Promotions window.
- 56825 Corrected so when completing a serialized service call with a Waiting on Parts status and flushing the backordered item, after the ticket was completed using the Incomplete/No Parts option, the system created a new ticket number. This was creating a problem by leaving the original ticket set at a status 7.
- 56861 Corrected so the system saves the Service Type when completing a service call using a ServiceTrak hand held device.
- 56862 Corrected so when closing a call, the system does not require the user to synchronize the problem, solution and service type codes on a ServiceTrak hand held device.
- 56882 Corrected various issues when using BEI. Previously the Cust_Time in the FIXSERV file was not being set, the Arrival_Time in the FIXSERV file was incorrect, and the Location Code in the FIXSERV was not being left blank.
- 56932 Corrected so the system more quickly processed input data large purchase orders to United Stationers.
- 56944 Corrected to allow placing a prepay ticket on hold in Commercial Order Entry. Previously when checking out, the system was displaying the available credit cards and not allowing the ticket to be placed on hold
