Jan. 21, 2010 — The ECi DDMS Version 8.21.20 major release is available now for software download via the ECi Customer Support Portal (https://support.ecisolutions.com).
This release includes enhancements designed to make it easier for you to take full advantage of new technology, work more efficiently, and grow your business.
Enhancements include Windows 7 Pro compliant client workstation installation, enhanced sync between text-based and SQL period-end reports, location-specific sales tax improvements (formerly called CCH Taxing), furniture project management user security templates, machine Work Order Warranty Detail, ServiceTrak for Windows laptops, and more.
DDMS customers received a shorter email message of this announcement. This is the extended version of the announcement, as it provides details of over a hundred other high-priority improvements to the usability and flow of your DDMS business system software. For details, read on below.

For All Dealers
Client Compliance with 32-bit Microsoft® Windows® 7 Professional
We have enhanced our DDMS Client and EBS Client software update wizard to comply with Windows 7 security and installation standards. This is helpful for dealers who are considering workstation hardware upgrades for DDMS client users. (55569)
Notes on Versions, Editions, Critical Updates, and Service Packs:
- DDMS client software is compatible with 32-bit versions only of Windows. As a result, DDMS does not support 64-bit installations at this time.
- DDMS client software is compatible with Windows 7 Professional Edition, Windows Vista™ Business Edition, Microsoft Windows® 2000 (SP3 or higher) and higher or Windows® XP Professional or higher. Home Editions are NOT considered a business-calibre operating system. DDMS business system software will not install on Home editions (neither Basic nor Premium). As a result, DDMS does not support Home Edition installations
- We recommend installing the latest critical updates and security patches from Microsoft. However, because some Service Packs have introduced conflicts, please check our Windows Platform Notes.
Same Data Whether Printing Text or SQL With Period-End Sync
We've corrected the handling of the data synchronization so that the DDMS system produces the same data whether printing reports in text-based reports or SQL EBS applications. (56081)
Previously, if a journal is renamed at period-end prior to the delta (changes-only) synchronization, the potential existed for data to be missing from SQL reports.
To resolve this issue, we've ehanced the EBS SQL Import Control Panel. Before the system renames sales journals and purchase order journals, TBL processes will call a new command line to directly execute a delta import.
These enhancements also resulted in changes to the DDMS EBS server installation to add new alias definitions to the TBL Server database and add two corresponding batch files in the \DDMS\bin directory for access by TBL processes.
Rest assured, these processes take place behind the scenes, and no action is necessary on your part.
Address Taxability (Formerly CCH)
Sales tax
rates vary not only from state to state or city to city, but even within a zip code or city limits. The challenge is to keep up with local sales tax district rates for your nationwide customers' many remote locations.
Formerly known as CCH
Taxing, Address Taxability is a customer sales tax interface feature that allows you to import and update tax tables on your server on a regular basis. In this release, you can purchase CCH
tax files cross-referencing address-specific tax locations against tax rates — with or without product-specific taxability data — on a monthly basis. The (M-M) Tax File Import conversion program imports CCH text files into your DDMS tax tables. By default, all locations will be set to taxable, unless you purchase the item taxability data. As an alternative way to make certain items not taxable, you can set up Product Groups and Item Code categories to suit your business.
Note: If you previously used the old version of CCH files, you will need to import the new version of CCH files when you load the DDMS software update for version 8.21.0 or higher.

Other Changes for All Dealers:
This release includes dozens of improvements to the usability and flow of the installation wizard, sales tax setup, quarterly usage report, Customer Shipto capacity, Accounts Receivable Posting, SQL A/R Trial Balance, Accounts Payable Posting and History, Electronic Invoicing logic, Executive Dashboard, Order Entry, Purchasing, Bank Reconciliation and more:
- Enhanced the DDMS software installation process to minimize filesize. Doing so reduces the time it takes to download your software update, and lowers the bandwidth and Web traffic load for each download. (55903)
- Corrected our installation routine not to require SQL passwords to meet Windows password requirements, given that those Windows requirements may fluctuate widely between dealers. (55185)
- Corrected so the Windows 2008 server allowed ECi DDMS users to connect. Previously after the server was rebooted, TBLxNet softwae would not open. (55910)
- Enhanced the Region Taxability flag to be specific to G/L location. On the "Set up Region Taxability" screen, a new "Location" field will default to the current G/L Location. It can be changed to any location. If the requested location does not exist, then location 1 data will be displayed. If you change the Taxable flag while in a location other than location 1, then a new T-NEXUS record will be created for that location. Any future changes for that location will only be for that location. If you change the location field after making edits to the Taxable field, then you will be prompted to save your changes for the previous location.

- Enhanced by adding a new selector and format to the !SEL and !USR screens. The UH selector and format was modified to replace the existing Quarterly Usage Report from the JOUR-U file with the new format and selector UH2. The UH2 format and selector uses sales journal information. (55970)
- Corrected Customer Shipto capacity so customers containing more than 8000 shipping addresses do not lock up the system. Previously if attempting to add a shipping record to the customer's account, the system and server locked. This issue only appeared in graphical software, not text-based. (56143)
- Corrected logic to not update I-AUX if a routine fails a check for blank item key or blank location so that blank key records are no longer created. Also added logic to the ;SPC:KILOC program that deletes bad location records out of item files to also delete blank item records. (55793)
- Corrected so when posting a check using the Accounts Receivable Pay Multiple Accounts feature, if money is remaining, the system posts the overpayment balance to the customer selected and not to the first alphabetical customer shown. Previously even after checking the customer to post the overpayment to, the system was not using this customer but posting the overpayment to the first alphabetical customer. (55969)
- Corrected so the system displays customer deposits in the A/R Posting window when the deposit is for a customer's department rather than the master account.(55843)
- Corrected to print the SQL Accounts Receivable Trial Balance Report in name order. Previously it was printing in account number order. (55599)
- Corrected so the SQL A/R Trail Balance Report does not show negative ticket balances in the Aged column. This occurred when orders were created and billed using a negative quantity. (55597)
- Corrected EBS SQL Accounts Receivable Detail report so when limiting to a specifc customer account number, the system does not display an error message. This error did not occur when limiting by customer name, just customer account number. (56129)
- Corrected so when querying for a customer in Accounts Receivable, the system does not leave the dialog box image on the window if you do not select a customer but instead click X to close the dialog box. (55579)
- Corrected so when posting a final-received debit memo in the A/P Post P/O tab for a vendor with a discount, the system subtracts the amount of the discount from the total. Previously it was adding the discount amount rather than subtracting. The debit memo's discount now appears as a negative amount and properly reduces the posting amount. This issue was also affecting the A/P To Be Paid Report and has now been corrected. (55754)
- Corrected so the system displays the proper voucher and net dates in the A/P History window when changes are made in Accounts Payable. Previously the system was displays the proper dates in the A/P History Summary tab but not in the Detail tab. This has been corrected. (55543)
- Corrected electronic invoices logic to eliminate an error that occurred because the system was using the using sales journal volume listed in (LØ) Global Master Parameters instead of JOUR-PO listed in the (LF2) Purchase Order Journals parameter screen. (54693)
- Corrected the logic so the Executive Dashboard displays the proper information. An enhancement to the SQL Import Scheduler in DDMS 8.20.1022 prevented updates to the Executive Dashboard. (56291)
- Corrected so the Executive Dashboard properly displays A/R balance information. Previously prepay tickets were not being properly recorded in A/R. (55798)
- Corrected some logic related to alphabetical location IDs to prevent exception errors in the (PD) President's Screen and Executive Dashboard. (55724)
- Corrected so when opening the G/L Financial reports, the system does not lock if general ledger files do not exist in the G/L volume. (55622)
- Corrected Order Entry so when (L1) terminals are all set to ONL= N, orders print to status 2. In DDMS 8.19.60, orders in this scenario ended at status 6. (56062)
- Corrected so the O/E History emails do not place all capital characters in the Email Address and Comment fields. This has been changed to work as it does in text-based to use both upper and lower case characters. (56120)
- Corrected Order Entry to prevent errors when an item is setup with an alternate type of "S" (for substitute), but no item number or company is specified. (55968)
- Corrected so the system properly adds the amount back to the customer's credit limit when the customer pays the invoice and using the prepay feature with floating credits. (55812)
- Corrected so if you specify a future date for an item in the Global Settings O/E tab, the system properly follows the parameter setting when the Ship Future Items parameter in (LGØ) is set to Y. (55322)
- Corrected so the system properly displays short buy and P/O specials in Purchasing window's Order mode. Previously, the information properly displayed the specials in Change mode but was not displaying them in Order mode. (55764)
- Corrected the Purchase Order Entry Low Stock window. Previously both the Cancel and Continue short cut keys were set to Alt + C. The Low Stock window now has a Continue (Alt + C) and Abort (Alt + A) button. Cancel has been removed. (55787)
- Corrected Purchase Order Entry so when creating a Low Stock, the system no longer allows adding items where the vendor is unassigned. (55623)
- Corrected so when selecting to view deposit detail and batch number information in the G/L Bank Reconciliation window, the system shows deposits with a batch number less than four characters. Previously if the batch number of the deposit was four characters or less, the deposit did not appear. (55999)
- Corrected General Ledger Bank Reconciliation so the system does not open the window behind other windows that are currently open. When first opening, the window now moves to the front. (55872)
- Corrected the G/L Bank Reconciliation window so when setting up a new bank account, the system properly retains the beginning balance. (55871)
- Enhanced EDI logic by adding the ability to send a future ship date on an 855 before the ticket is invoiced. (56353)
- Enhanced EDI logic so when using the N1ST_04 matching function, if the system does not match on the reference code, the order is not released to the main account. (56362)
- Enhanced EDI logic by adding the ability to receive an 850 which contains an N1ST_04 value so it can be sent back on an 810. (56340)
- Enhanced to store te date in the dtm_02 & dtm_03 from the 850 file in order to send the information back on an 855 file. (56337)
- Corrected so when using the Importer software and importing or releasing an EDI file, the system right-justifies the EDI order taker number. Right-justification of the EDI order taker is necessary when using the (+W) screen. (55857)
- Corrected EDI logic so if the dealer is using an custom code that brings in the EDI invoice, the system does not automatically create a pick ticket at a status 8 when they post it in the A/P Post PO tab. This applied when posting the freight line to a ticket and charging tax. (55778)
- Corrected PSN EDI logic to prevent an error that only occurs when the (SG-C) screen processes an EDI transmisison with a TD4 record where the qualifier is not HAN. (55465)
For Supplies Dealers
This release includes dozens of improvements to the usability and flow of the Private Supply Network, HP PurchaseEdge, Promotions, Customer Price Plans, Automated Short Buy, AOPD reports, Advanced Shipping Notice, Price Modeling, and more:
- Enhanced S.P. Richards PSN transmissions via PSN so that they include comment lines on will call orders as well as drop ships and USA Express orders.(54990)
- Corrected so the HP PurchaseEdge icon in the DDMS Internet Tools Menu takes the user to the appropriate Web page. Previously when the icon was selected, the Internet Page Not Found window opened

- Corrected the Promotions database to save the record even if the user hits Enter while the cursor is in the Extended Description field.(55818)
- Corected Customer Price Plans so that usage values now sort correctly in the detail grid. (56045)
- Corrected so when the customer makes window changes in the Customer Price Plan window, they are properly saved. Previously grid changes were not being saved either in the top or bottom grids used to edit the contents of a contract. Grid changes including the moving of columns nor the shrinking of their width were being saved. (56044)
- Enhanced Automated Short Buy to allow certain routes to skip Global limits at the request of American Office Products Distributors, Inc. (56259).
- Enhanced to change the format for the !RPT 850AOP report. At the request of American Office Products Distributors, line 26 was changed to pull the cost with three digits after the decimal instead of just two digits. (55801)
- Corrected the ability to process LaGasse acknowledgements via PSN by adding the Format and Selector, LAGACK, to !RPT & !SEL. (56019)
- Corrected the Advance Shipping Notice logic so that running (TR-2-A) will properly post freight to the pick tickets according to vendor communications settings and ticket settings. Customers and tickets must have third party carrier (TPC) freight set to either a Y or a B to write the freight amount on the ticket. The exception is for the United Stationers additional charges feature which requires this to be set to an A. (54707, 54757)
- Corrected the Price Modeling window so that when building a Price Plan list and clicking the Remove Selected Price Plans option, the system allows the user to enter data. Previously after selecting the Items On Price Plans option and choosing the Remove Selected PricePlans option before adding a price plan, the system was removing the yellow bar used to specify data. Once the bar was removed, the user had to cancel the process, exit the window, and re-enter before information could be specified. This has been corrected. (55802)
- Corrected the Price Modeling window so it does not open behind other windows currently open. It now opens in front. (55756)
- Corrected the Street column label to the more consistent Address2 label in the Price Modeling window so when setting salesperson limits, the system does not display an error message. (55755)
For Furniture Dealers
Project Management Secure User Groups and Templates
The Furniture
Project Management window contains significantly improved
security. (55979)
Previously, you had one password which denied or allowed
access to the entire Project Management feature.
By using password-protected templates and user groups, you can restrict individuals
from viewing confidential customer information such as
cost, margin, or GP. Passwords can be set in the Furniture Parameters
and are accessible through the Keyop Menu.
When you set up User Groups, for example, you may create one
user group for your warehouse personnel and another for your
salespersons. Each employee can belong to several different groups
at once.
Set up your group-specific templates with the relevant data, then merely assign the templates to the user groups. If an employee
is not a member of the group, the group's template is not displayed in that user’s
Template Selection list.

After you install
the new software and open the Project Management window, the
Template Selection list always opens first, displaying the templates
to which the user is assigned. For example, user 101 could be assigned
three templates, while user 120 may be assigned five.
Note: By default, until you set up user groups, existing templates appear under the General heading. All existing templates are available to all users who have access to Project Management. If you want to secure your data, you will need to create your templates and user groups.

Other Changes for Furniture Dealers:
This release includes dozens of improvements to the usability and flow of Hedberg Communications, Third Party Billing, Furniture Order Entry Change, Quote Release, Project Management, Job Costing, HNI Acknowledgements, and more:
- Corrected so when importing data from Hedberg in the Furniture window, the import does not cause incorrect word wrapping in the text. For example, previously the text an estimate could be shown as an estimate, without the appropriate spacing between the words. This has been corrected. (56095)
- Corrected so when selecting the PO Global Information icon in the Furniture O/E Change window, the system no longer displays an error message

- Corrected Furniture and Commercial O/E to properly display the entire city in the shipping address. In DDMS 8.18, the system was dropping the first character of the city's shipping address, where Dallas appeared as "allas." (55804)
- Corrected text-based Fix Tax so the Mfg information on a corrected tax invoiceis properly handled on Furniture orders. Previously, when used to create a new invoice for the correct tax amount and to credit the old one, it wrote the lines with the same Furn Mfg field for every item. (56303)
- Corrected so when performing a Quote Release and adding new database items, the system retains the correct line item sequence numbers. (55513)
- Corrected so Third Party Billing orders set to zero cost and containing a load factor item are correctly added to Furniture orders. Previously, if a furniture TPB order was set to zero cost and contained a load factor item, the system was clearing the cost on the load factor item. The load factor now remains correct based on the third party billing item once all the item pricing is removed. (55939)
- Corrected so when limiting to Third Party Billing orders in the Project Management window, the system displays all the items on the order. Previously in DDMS 8.20 only one item on the Third Party Billing order would display. (56057)
- Corrected Furniture Project Management by adding the Vendor Name box as a limit when using the Item Level. Previously, the Vendor Number box was available but not the Vendor Name. (55738)
- Corrected Furniture Project Management so when using limits, the system displays all the information by which to limit when clicking the drop down arrow. Previously the system was not showing all the values by which the user could limit. (55601)
- Corrected so when creating a new project in the Furniture Project Overview window, the system allows the user to complete the names and dates for key project information. Previously, the customer's first name appeared tio far to the left on the window and was difficult to view. For example, Smith, John A appeared as "mith, John A." Also data specified in the window was not being properly saved after clicking the Update button. (56142)
- Corrected so when highlighting a salesperson in the Salesperson Query dialog box in the Job Costing Post Hour or Post Items window, the system retains the salesperson chosen. Previously when highlighting the name and clicking OK, the window reopened with the first name shown in the dialog box and not the salesperson selected. (55926)
- Corrected so HNI acknowledgements properly update DDMS when using the Receive action code in the Purchase Order Entry Communications window. (55193)
For Machine Dealers
Machine Work Order Warranty Details and More
We've enhanced Machine Work Orders so that if the machine has a contract (warranty only or other) a new dialog box can display Warranty details. The user presses a button on the tool bar or selects it from the Call Tools menu. The button will be disabled if there is no contract for the machine. If it is warranty only, the form will display "Warranty Only" at the top. The dialog box is is modal, so it must be closed before the user can do anything else in Graphical. (55938)
We also made several more improvements to usability and flow in Machine Work Orders:
- Corrected Machine Work Order or Monitor to default the email/fax information in the bottom half of the form to the first contact on file for the tech in the CONTACTS screen when you first go into the fax/email form. If the tech's first contact is set up as email then it will default to email. If the tech's first contact is set up for fax then it will default to fax. (56341)
- Corrected Machine Work Orders serial number lookup to open SerialQuery if multiple items share the same serial number. Otherwise, it will bring up the only matching item. If no item matches, WorkOrders has always opened a pop up query form. (56117)
- Corrected an issue with displaying the machine list after looking up a new customer, when another customer was already brought up. (56116)
- Corrected Machine Work Orders to display all machines for a customer, when the customer already has machine item displayed. Previously, it only displayed other machines for that customer if they matched the item key of the one displayed. Added "Show All Machines for this Customer" check box to the Machine List. If you open workorders and lookup by item, with no customer or system#, the new checkbox in Machine List form will be disabled. If you open workorders and look up by customer or system#, then click the machines button or press F5, the new checkbox, in the Machine List form will be enabled. If there is not a specific machine item displayed, just the customer, the check box will be checked. In machine list, if you the checkbox is checked, all machines for the customer will be displayed in the grid. If it is unchecked, only machines with the same item key displayed in workorders form will be displayed. (56115)
- Corrected Machine Work Orders so that when you open Machine Detail from the key change function, the customer account and department on the Work order will automatically be brought up. The Trade-In frame and fields will be disabled, along with the depreciation tab. Only the Add, Save, Contact Maintenance, Help and Close toolbar buttons will be enabled. When the machine is saved successfully, the form will close. (56092)
- Corrected Machine Work Orders issue with looking up a new system or serial number. Previously, if you entered a system# and pressed enter once, it would look up that system#. If you looked up another number and pressed enter, it would look up that number and go to the call detail tab. As a result, some data, meters for example, was not being read up for the second machine that was looked up. Changed to look up that machine. If you press enter twice after looking up a machine, it will go to call detail. If you press enter and look up another machine and press enter, it will look up the new machine. If you press enter again, it will go to call detail for the new machine. (56056)
- Corrected Machine Work Orders so that when selecting closing order writer, the list is not limited to serialized or furniture techs, but is open to any order writer. (55991)
- Corrected Machine Work Orders logic to check the EZ1M "Display Log in Time on Monitor" when displaying calls/responses in the graphical monitor. If the log in date is the same as the current system date it will display the log in time instead of the elapsed time if this parameter is set to Y. This now works the same as in text-based. (55932)
- Corrected Machine Work Orders to allow users to enter technician mileage in the Call Times Completion window for Incomplete-No Parts calls. (55706)
- Corrected Machine Work Orders to only prompt to transfer parts to other tech's inventory location screen if the EZ1O "Check All Tech's Inventory Loc. On Hand Quantities For Backorders Y/N ?" parameter is set to Y. (55675)
- Corrected Machine Work Orders, Order Entry, and Serialized Contract Profile wherever the system checks the serial field for "Y" and included "R" as valid for rental. This eliminates 'INVALID ITEM: Item selected (DP3520) is not a valid serial item or is no longer in the item master database." (55637)
ServiceTrak for Windows (Laptops!)
We've enhanced ServiceTrak to allow it to be installed on different PC operating systems such as Vista or Windows 7 (56251, 56252, 56315, 56068, 56105). That means you can now deploy ServiceTrak on a laptop.
We've also released ten improvements to the usability and flow of ServiceTrak:
- Enhanced ServiceTrak with a pop-up message to notify the user that the Options are saved. (56030)
- Corrected ServiceTrak to eliminate truncated field entries, by adding a check for the max number of characters in the P/O field. (56024)
- Corrected ServiceTrak issue so that first 50 characters of Call Description will be shown on the Call Monitor. (56066)
- Corrected ServiceTrak to properly sync the P/O number to the handheld unit after you have logged a call in graphical. (56043)
- Corrected ServiceTrak handheld unit to display the full text of the current version number. Previously, this was truncated. (56021)
- Corrected ServiceTrak PC installation to create user.config file in user-specific secure folder to make it compatible with new Windows 7 security policies. (55987)
- Corrected the ServiceTrak configuration to avoid writing data in areas that would be protected areas according to Windows 7 security policies. The program has been changed to read from and write to an area the user can write to such as USERS\USERNAME\Application Data.(55977)
- Corrected the ServiceTrak interface to allow the user to change start and complete dates without getting an error that states the dates are not logical. (55796)
- Corrected the ServiceTrak interface to allow the user to resize the window, which is helpful especially on a PC operating system. (55712)
- Corrected the ServiceTrak installer so that you no longer have to uninstall from the handheld to install a new software update. (56036)
Other Changes for Machine & Equipment Dealers:
This release includes dozens of improvements to the usability and flow of Accessories Management, Supply Billings, Renewals, Machine Monitor, Contract Detail, Machine Order Entry, and more:
- Corrected Accessories Management Final Verify logic to display the system grid to allow the user to select a different location from which to sell equipment as needed. (56063)
- Corrected Machine Accessories Management so that the verify grid matches up internally with the order entry grid. (56174)
- Corrected graphical Supply Billings to use the PO number from the (EZI) Contract Detail screen the same way as the text-based (EZO1) screen. (55822)
- Corrected Renewals logic to set the Contract P/O number to the Order Entry ticket's long P/O number if it exists. If the P/O expiration date was already set in the contract record then it will set the new P/O expiration date to the new contract ending date. (55743)
- Corrected Machine Monitor's call number box so that it no longer looks like a lookup box. It is just a display of the current call being accessed. (55704)
- Corrected an issue in Contract Detail where the (EZU-Update) function was checking the (EZ1B) parameter "Update Meter Bill File" and if set to No then it would not update the meters greater than 1 that was linked to meter 1. We have removed that parameter check in EZU-U because it is not updating the meter bill (z-m-bill) file. (55567)
- Corrected Machine Order Entry so when selling a contract with a quantity of two, the system properly maintains all meters. In DDMS 8.20, subsequent meters were not displayed. This has been corrected so the system processes the meters per individual system number. (56214)
- Corrected Machine Order Entry so that when ordering more than one machine at status 8 but not installing accessories, you are allowed to assign serial numbers to match the quantity shipped. In DDMS 8.20, it was prompting for a single serial number based on the presence of an ordered quantity. (56061)
- Corrected Machine Order Entry to prompt for serial numbers for leases if you say no to "Install Accessories" when you have entered an item number and company in the lease profile screen.(55775)
- Corrected Machine Order Entry to default to no print if the (EZ1O) Skip Print parameter is set to Y and the ordered totals are zero. (55709)
- Corrected Machine Order Entry to default to the L1 pick ticket printer and format for waiting on parts or backorder workorder tickets for service workorders. (55707)
- Corrected Machine Order Entry Credit so that when crediting less than the full quantity originally sold, the system does not bring over excess machine system numbers and serial number special lines. (56130)

- Just enter your unique email address. If you already have a password, enter it and click Submit. If you don't have your password or have forgotten it, check the box for a temporary password, and click Submit.
On the login page, you can view a 10-minute video guided tour to introduce you to using the ECi Customer Support Portal. There's also a new 2-minute video on using Software Downloads.
- If your email address is associated with a customer account in our system, you'll receive a temporary password. If not, we may contact you to verify your account.
- Once you receive your temporary password, you can log in.
- Change your password as prompted.
- Click Software Downloads, click DDMS and follow the on-screen steps.
If you would like a copy of this software update on CD-ROM, we will be happy to ship it to you via United Parcel Service (UPS) Ground. You can request a software update CD by email ddmssupport@ecisolutions.com, including your DDMS account number, contact name, company name, shipping address, and phone number. Effective with DDMS Version 8.20 and higher, a $15 shipping and handling fee will apply for each software update CD requested.
