About Customer Statements
Statements are an important communication tool between you and your customers. They show each customer's current account balance and include finance charges. Therefore, you want to ensure that each customer receives an accurate statement.
Through the accounts receivable parameters, you can standardize the messages that print on customer statements. In addition, you can print up to two messages on a customer statement. For all customers, you may have a general or informational message. You can also specify messages for customers that are past due by 30, 60, or 90 days. When a customer is past due, the correct message automatically prints on the customer's statement. Using parameters to standardize customer statements reduces errors, and can help maintain good relations with your customers.
Four statement formats are provided with your system: Plain Stubless Statement, Brannon's 9.5x11, Brannon's 8.5x11, and Ennis Stub Statement. All but the first of these print on statement forms with detachable stubs. The stub can be returned with the payment and includes customer information, the invoice balance, and total due.
Note: Statements usually need to be printed at 10 or 12 characters per inch (cpi). You can set many printers to 12 cpi through the menus on their front panels. (See the manual that came with your printer to determine how to set it to the proper cpi.)
Statements are sorted by customer name and invoice number.
Note: While you can set and change your sorts though the (O) Accounts Receivable Selectors screen, you must also use the customer account number and invoice number as two of your sorts.
In addition, statements may also include the following information:
Your
company logo (if you specified Y in the Logo box in the (LA2) A/R Parameters screen)
Customer's
address and telephone number
Date
last payment was applied (if you specified Y in Check field in the (LA2) screen)
Check
number and amount (if you specified Y in the Check field in the (LA2) screen)
Invoice
number
Posting
date
Amount
Running
account balance (if specified Y in the Run B field in the (LA2) screen).
At the bottom of each statement any message specified in the (LA2) screen prints, along with aged account totals and the total due.
