Printing Payroll Reports

The Federal W-2 Form shows total wages, tips, and other compensation for each employee. It also shows the amount of tax withheld.

  1. In the (V) Personnel/Payroll Reports screen, select the [D] Print State & Fed Reports function.

  2. In the Department From field, you can set limits to define the records to include on the report. You can limit by any combination of limits. However, to be included on a report, the record must meet all of the limits you set. If you do not want to set limits, press Enter and go to Step 3. However, if you do not specify a range, all your payroll information prints.

    To specify a range, enter the beginning of the range in the first field, and enter the end of the range in the corresponding To field. If you enter fewer than four characters, press Tab.

  3. Use the Department From and To fields to limit by a range of company departments.

  4. Use the Group Code From and To fields to limit by a range of payroll group codes.

  5. Use the From Name and To Name fields to limit by a range of employee names.

  6. Use the From # and To # fields to limit by a range of employee identification numbers.

  1. In the State Quarterly field, press Tab.

  2. In the Federal W/2's field, type Y. Press Enter.

  3. In the Alignment Form field, type Y to print a test form and check the printer's alignment. (The employee information is replaced by asterisks.)

    Type N to skip this step.

    Type C to print corrected W-2 forms.

  4. In the Printer field, enter the name of the printer to use.

  5. In the Copies field, enter the number of copies to print.

  6. The forms print.
