Releasing A/R Batches (Standard)
Releasing batches is a day-end procedure. Releasing batches:
Prints a version of the A/R Batch Report. To review A/R batches without releasing them, you can print this report without releasing batches. See Printing an A/R Batch Report (Standard).
Clears the daily figures for the released batches from the AR-BATCH file. (If the Auto Post field in the (L2) G/L Master Numbers screen is set to Y, the figures are sent to general ledger. If the Auto Post field is set to N, the daily figures are deleted.)
Note: Releasing batches is a dedicated function. Make sure that no one uses the system until the procedure is complete.
In the (OR) screen, select the [A] Batch action code.
In the Batch Nbr field, specify the range of batch numbers to release. Enter the beginning of the range in the first field, and enter the end of the range in the corresponding To field.
To release a single batch, specify the same batch number in the Batch Nbr and corresponding To fields.
To release all batches, tab past the Batch Nbr and To fields.
In the Release field, type Y.
At the Enter Password prompt, enter the password set in the Rel field in the (LA) Customer And A/R Parameters screen.
Note: If you specified Y in the Auto Post field in the (L2) screen, the summary records post to a G/L batch when the batches are deleted.
Use the Location field to limit the release by location.
In the Printer field, enter the name of the printer to use.
In the Copies field, enter the number of copies to print.
If you limited the release to a specific location, and specified Y in the Prompt For Period When Releasing Batches By Loc field in the (LA2) A/R Parameters screen, the Release Batches To Period prompt appears. This prompt indicates the business period of the batches you are releasing, and defaults to the business period set in the Current Period field in the (L2) screen.
To release batches to the current business period, press Enter.
To specify a different business period, enter it.
The batches are released and the A/R Batch Report prints.
