Printing Standard Serialized Reports
Printing the To Be Billed Report
You should print the To Be Billed Report before you generate billings.
Note: If a machine is part of an umbrella contract, the system checks to see if the machine is a valid, existing machine. If not, the system does not process the machine and writes an exception, Umbrella System Not On File for the valid machine that is linked to the umbrella contract. To determine which machine is missing from the Z-MASTER file, view the machines linked to the umbrella contract.
In the (EZY) Serial Maintenance Report Selection screen, type B in the Report field.
In the Loc field, press Tab to accept all locations, or enter a specific location.
Use the Sort fields to specify how the report prints. You can accept the default sort by pressing Enter, or you can specify up the three different sorts.
To sort by system and subsystem number, press Enter and go to Step 5.
Type I to sort by item.
Type C to sort by customer name.
Type V to sort by vendor.
Type D to sort by date.
Type # to sort by type.
Type S to sort by serial number.
Type F to sort by frequency.
Type W to sort by order-writer number.
Type T to sort by technician.
Type ? to sort by code.
Type N to sort by system and subsystem numbers.
Use the Break field to specify whether to begin a new page for each new group within the first sort. Suppose that you specified vendor name as the first sort. If you set this field to Y, each new vendor name begins on a new page. You can also print a subtotal at the end of the first sort.
Type Y to begin a new page for each new group within the first sort.
Type N (default) to print without page breaks for each new group.
Type S to print a subtotal at the end of the sort (without a page break).
When the cursor moves to the Sys # field, you can begin setting limits for the report. You can set limits in the following records: Global Limit, Contract Selections, Meter Selections, and Service Selections. (The History Selections record does not apply when printing this report.) There are no default limits. If you do not specify limits, every item that is due to be billed is included on the report.
If you do not want to set any limits, press Enter until the cursor moves to the Format field. Go to Step 7.
To limit the calls, tab to the appropriate fields for each limit to set. Enter the beginning of the range to include in the From field, and enter the end of the range in the corresponding To field. When limiting to a single value, you can enter the value in the From field, and leave the To field blank. For example, if you limit to serial number 123, enter 123 in the Ser # field, and leave the corresponding To field blank. For a call to be included, it must meet all the limits you set.
Note: In the Log Date From field in the History Selections record, press Enter. The fields in this record do not apply to this report.
In the Suppress Sales field, press Enter. (This field and the Purge History field do not apply to this report.)
In the Format field, you can specify whether to print the To Be Billed Report or whether to generate billings. To print the To Be Billed Report, press Enter. (Before generating billings, print a copy of the report and review what is to be billed. This way, you can make changes before billing the customer.)
At the Bill Contract, Meter, Or Both prompt, indicate whether to include only contracts, only meters, or both contract and meter billings in the report. You can also include only lease billings.
Type B (default) to include both contract and meter billings.
Type C to include only contract billings.
Type M to include only meter billings.
Type L to include only lease billings.
In the Printer field, enter the name of the printer to use.
In the Copies field, enter the number of copies to print.
The cursor moves to the Date field in the upper right of the screen. This date determines which contracts and meters need to be billed. This field defaults to the system date, but you can change it. For example, if today is September 28, and you are generating contract billings for November, you would change the date to October 1 by entering 10/01/07. Specify a billing date, or press Enter to accept the default.
At the Are You Sure prompt, type Y. The report prints. Review the report to determine whether the limits you set included all the records for this billing. You can print this report as often as needed until all the records are included for billing.
