Printing Standard Purchase Order Entry Reports

You can release stock to on-hand by printing the Stock Receipts Report. This report lists the items that are in the RECEIPTS file after you have flushed backorders, but before you release these items to on-hand.

The Stock Receipts Report contains the following information for each item in the file:

The report also shows allocated quantities if you specified A in the Future Shipping field in the (LGØ) Order Entry Parameters screen and if you flushed the items before the specified due date.

  1. In the (TR) Order Entry Reports screen and select the [H] Stock Receipts Report code.

  2. In the Release To On-Hand field, you can print the report to see the quantities to be released before they are actually transferred to on-hand, print pricing labels, or release the inventory to on-hand.

    To print the report without releasing the inventory or print pricing labels, type N. Go to Step 5.

    To release inventory from the RECEIPTS file to on-hand, type Y.

Note:  Do not release to on-hand until all batches and printers are idle.

  1. At the Enter Password prompt, enter the password set in the Release field in the (LF) Purchase Order Parameters screen.

  2. If you specify N in the Update Average Cost At Release To On-Hand field in the (LF) screen, the Update Avg. Cost prompt appears. To update the received items' average costs in the Cost box in the Inventory Master tab with the received cost, type Y.

    To not update the items' average costs with the received cost, type N. Go to Step 10.

  3. In the Labels field, specify whether to print a pricing label, which includes the following:

To print pricing labels, type Y. Go to Step 8.

Note:  Print a Stock Receipts Report before you print labels to find out how many labels print. The quantity in the Left column is the number of copies of pricing labels printed for each item.

To not print pricing labels, type N. Go to Step 10.

To print bar code labels, type B.

  1. A label prints for each item left in the RECEIPTS file. This is the inventory to be released to on-hand.

Note:  Print a Stock Receipts Report before you print labels to find out how many labels print. The quantity in the Left column is the number of copies of pricing labels printed for each item.

  1. At the Price To Print On Labels prompt, specify the price to print on the bar code label.

    To print the item's list price on the label, type L.

    To print the item's catalog price on the label, type W.

    To print the quantity break price on the label, type Q.

    To not print a price on the label, type N.

  2. In the Alignment field, type Y to print a test label. Go to Step 10.

    Note:  If you print a test label, you must repeat these steps to print all the labels.

    To not print a test label, type
    N.

  3. In the Class field, you can limit the labels that print to a range of stock classes. Enter the first stock in the range in the Class field. In the To field, enter the last stock class in the range.

    To print labels for items in the same stock class, enter that stock class code in both fields.

    To not limit the labels by stock class, tab through these fields.

  4. In the Loc field, enter the inventory location for which to print the report. Press Tab to use the default location. To print the report for all G/L locations, space through the Loc field.

  5. In the Printer field, enter the printer to use.

  6. In the Format field, type RLBL. This prints 2" x 7/16" pricing labels, three across. Set your printer to 17 characters per inch. To change the RLBL label format, use Report Writer.

  7. The report or labels print, and the inventory is released. The cursor returns to the action code field.
