Printing Standard Sales Reports

This report shows salesperson commission on partially or completely paid invoices. If you pay commissions on partially paid invoices, you should print the report again after the balance of the invoice is paid.

 

To calculate commissions on paid or partially paid invoices, you must specify Y or Z in the Commissions/Taxes On Paid Invoices field in the (LØ) Global Master Parameters screen. (Do this at least one month before printing the report for the first time.) Then, each time you post to accounts receivable, information on paid invoices is saved in the JOUR-P file.

 

You must also calculate commissions using the invoice subtotal rather than by line item or department. How you calculate commissions is determined in the (L3) Commission Table Parameters screens.

Finally, you should wait to print the report until at least the due date listed on your customer’s statements.

There are no default sorts or limits for this report.

  1. In the (UR) screen, select the [A] Salesman Master Report code.

  2. In the With Analysis field, type C.

  3. At the Commission On Paid Invoices prompt, type Y.

  4. The Is This The Final Run prompt appears. In the final run of the report, paid invoices are marked and purged from JOUR-P so they are not included in future commission reports.

Note:  Paid invoices are marked and purged from JOUR-P only if you specify Y at this prompt and specify N in the Totals Only field in the print lines. If you specify Y at the Totals Only field, the JOUR-P file is not purged. In addition, printing the complete report in the final run is an important part of the audit trail. You should keep a hard copy of the final report for audit purposes.

If this is the final run of the report, type Y.

If this is not the final run of the report, type N.

  1. At the Only On Completely Paid Invoices prompt, type Y to calculate commission for completely paid invoices only.

    To calculate commission for partially paid invoices as well as completely paid invoices, type N.

Note:  If you specify N, you cannot have the S/M field in the (L3) Commission Table Parameters screen set up for margins.

  1. At the Commission Only If Paid prompt, you can restrict commission calculations to invoices that have been paid within a specified number of days. For example, if you specify 30 in this field, commissions are calculated only for invoices paid in the last 30 days.

  2. At the Commission On Verified Invoices Only prompt, type Y to calculate commissions only for invoices verified through the (+P) Journal Verify And Edit screen.

    To calculate commissions on all invoices, press Enter.

  3. At the Report Cost field, press Tab.

  4. Limits define the information included in a report. You set limits by specifying a range of information (account numbers, item numbers and customer names, for example). Information falling within the range is included in the report; information outside the range is excluded. For example, when generating a salesperson report, you can limit the report to only salesperson numbers within a certain range, or even to one specific salesperson number.

    You can set several limits for a report. However, a record must meet all the limits to be included in the report.

    To limit the report, tab to the fields you want to limit by and enter the beginning range in the From field. Enter the ending value of the range in the To field. To limit the report to a single piece of information, enter the same thing in both From and To fields.

    To include all of the applicable information, press Enter.

Use the Slsm From and To fields to limit by salesperson number.

 

Use the Cust From and To fields to limit by customer number.

 

Use the Dates From and To fields to limit by invoice date.

Note:  You can only limit the Paid Commissions Report by salesperson, customer, and date.

  1. In the Location field, press Tab to use location 1, or enter another G/L location. Space through the field to include all G/L locations.

  2. In the Printer field, enter the name of the printer to use.

  3. In the Copies field, enter the number of copies to print.

  4. In the Totals Only field, specify whether to print the entire report or totals only. If you print totals only, the report includes the following information:

  5. Totals by customer for each salesperson

  6. Sales totals

  7. Gross margin totals

  8. Gross profit percentages

  9. Commission totals

  10. Amount paid

  11. Previous amount paid

  12. Table totals for each salesperson.

To print totals only, type Y.

Note:  If you print totals only, paid invoices are not purged from JOUR-P, even if you specified Y at the Is This The Final Run prompt. To purge paid invoices from JOUR-P, type N in the Totals Only field and Y at the Is This The Final Run prompt.

To print the entire report, type N.

  1. In The File field, press Tab.

  2. In the Volume field, enter the volume serial of the unit where the file is located. The default volume serial comes from the Sales Jour field in the Volume Serials Record of the (LØ) screen. To accept the default volume serial, press Tab. The report prints.
