Printing Standard Serialized Reports

The Maintenance History Report shows all of your purged calls.

  1. To purge and save call history, you must first determine which unit contains enough free disk space to perform the procedure. You need free space that equals the space that your Z-AUX and Z-FYI files currently occupy.  For details see Verifying Disc Space of the Z-AUX and Z-FYI Files.

  2. In the (EZY) screen, type H in the Report field.

  3. In the Loc field, press Tab to include all locations, or enter a location.

  4. Use the Sort fields to specify how the report prints. You can accept the default sort by pressing Enter, or you can specify up the three different sorts.

To sort by system and subsystem number, press Enter and go to Step 6.

 

Type I to sort by item.

 

Type C to sort by customer name.

 

Type V to sort by vendor.

 

Type D to sort by date.

 

Type # to sort by type.

 

Type S to sort by serial number.

 

Type F to sort by frequency.

 

Type W to sort by order-writer number.

 

Type T to sort by tech.

 

Type ? to sort by code.

 

Type N to sort by system and subsystem numbers.

  1. Use the Break field to specify whether to begin a new page for each new group within the first sort. Suppose that you specified vendor name as the first sort. If you set this field to Y, each new vendor name begins on a new page. You can also print a subtotal at the end of the first sort.

Type Y to begin a new page for each new group within the first sort.

 

Type N (default) to print without page breaks for each new group.

 

Type S to print a subtotal at the end of the sort (without a page break).

  1. When the cursor moves to the Sys # From field, you can begin setting limits for the calls to purge. You can set limits in the Global Limit and History Selections records. (The Contract Selections, Meter Selections, and Service Selections records do not apply.) There are no default limits.

If you are setting no limits, press Enter until the cursor moves to the Suppress Sales field. Go to Step 7.

 

To limit the calls, tab to the appropriate fields for each limit to set. Enter the beginning of the range to include in the From field, and enter the end of the range in the corresponding To field. When limiting to a single value, you can enter the value in the From field and leave the To field blank. For a call to be included, it must meet all the limits you set.

Note: We recommend that you limit the calls you purge using completion date. For example, to purge calls completed in January 2006, enter 010106 in the Com Date field and 013106 in the To field.

  1. In the Suppress Sales field, press Tab.

  2. In the Purge History field, type Y.

  3. In the Format field, indicate which version of the Maintenance History Report to print. You can print the complete or short versions of the report, or print only report totals.

Type C (default) to print the complete version of the report.

 

Type S to print the short version of the report.

 

Type T to print only totals on the report.

  1. In the Incomplete Only field, indicate which calls to purge.

Type Y to purge incomplete calls.

 

Type N to purge completed calls.

 

Press Tab to purge all calls. This includes your call history.

  1. In the Printer field, enter the name of the printer to use.

  2. In the Copies field, enter the number of copies to print.

  3. At the Enter Password prompt, enter the password set in the Purge field in the (EZ1S) screen. If the Purge field in the (EZ1S) screen is blank, press Enter.

  4. At the File To Save Purged History prompt, you can save the call history you are purging to a call history file.

If you are not saving the call history to a call history journal file, press Tab. If you do not enter a file name, the call history you purge is deleted and not saved. Go to Step 17.

 

To save the call history to a call journal file, go to Step 15.

  1. At the File To Save Purged History prompt, enter the file where you are saving the purged call history. For example, if you are purging call history for January 2006, you might enter Z-JAN06 in this field. If you enter fewer than 10 characters, press Tab.

  2. In the Volume field, press Tab to accept the default volume serial, the serialized inventory volume serial, or enter the volume serial for this purge. (You may have to specify a different volume serial if your serialized inventory volume serial does not have enough disk unit space for this procedure.) Go to Step 20.

  3. The File field defaults to the RZH-PURGE file. This temporary file contains the calls that remain after the Z-AUX file has been purged. Press Tab to accept the default file name or enter the file name to use instead.

  4. In the Volume field, press Tab to accept the default volume serial, the serialized inventory volume serial, or enter the same volume serial where you saved the purged call history file. (You may have to specify a different volume serial if your serialized inventory volume serial does not have enough disk unit space.)

  5. At the Are You Sure prompt, type Y. The Z-AUX and Z-FYI files are purged, using the limits you specified. The Maintenance History Report prints.

If you specified the serialized inventory volume serial for the call journal and the RZH-PURGE files, this completes the procedure.

 

If you specified a different volume serial for the call journal or the RZH-PURGE file, go to Step 20.

  1. The original, unpurged Z-AUX file is stored on your serialized inventory volume serial, and the call journal and RZH-PURGE files are stored on the volume serial you specified. You must replace the Z-AUX file with the RZH-PURGE file before the procedure is complete.  For instructions, see Replacing the Z-AUX file with the RZH-PURGE file.
