Printing Standard Inventory Reports

You can print two types of barcode labels: product labels and shelf labels.

Note: To print barcode labels in the (RR) screen, you must have a Monarch 9401 or 9402 printer.

Stick barcoded product labels to items not barcoded by the manufacturer, so you can scan them at point-of-sale. In addition, you can use product labels to produce barcode catalogs for items that are too small for product labels (pens, for example).

Printing barcode labels for retail and warehouse shelves lets you count inventory with hand-held scanners, making this task easier, faster, and more accurate.

If you do not use Moore or O/PUS item file updates, you need to create common aliases manually. For details, see Barcodes.

Note: You can only print labels for 6-, 10-, or 12-digit numbers. If you enter a 6-digit number, a 6-digit barcode prints. If you enter a 10- or 12-digit number, a 12-digit barcode prints.

  1. In the (RR) Inventory Reports screen, select the [S] Labels type code.

  2. In the S/P/B field, specify which type of label to print. To print shelf labels, press Enter. To print product labels, type B.

  3. In the Sets field, to print barcode product labels, type 1. To print barcode retail shelf labels, type 2.

  4. At the Price To Print On Labels prompt, use codes from the following list to specify the price to print:

    L

    List price

    W

    Catalog price

    Q

    Quantity break price

    N

    No price.

  1. In the Alignment field, type Y to print a sample label. Go to Step 13. The sample label does not print a barcode. It prints zeros to help you check the alignment.

To begin printing labels without checking the alignment, type N.

  2. In the Location field, enter the location the labels are for, or press Tab to include all locations.

  3. Use the Sort 1 field to determine the order in which the labels print. To accept the default sorts (item number and company), press Enter and go to Step 8.

To specify sorts for your labels, enter the appropriate sort codes in the Sort 1, 2, and 3 fields. The sort codes appear on the screen to the right of the Break Page fields. You can specify up to three sorts. For more information, see Inventory Sorts and Limits.

If you do not complete all three sort fields, press Enter.

  4. The cursor moves to the first limit field, the Avg Cost Gt Rep field. You can limit a report using any combination of limits. To be included in a report, however, an item must meet all the limits you set.

    Note:
There are no default limits for this report. If you do not specify limits, the report includes information for every item in the database.

If you do not want to set limits, press Enter until the cursor moves to the Printer field. Go to Step 9.

For details on available limits and how to use them, see Inventory Sorts and Limits.

To limit the report to item records that belong to a particular group, type Y. To limit the report to item records that do not belong to a particular group, type N. To omit items that belong to a particular group, type O.

    Note:
These limits are often used in combination. For example, to limit a report to items that do not have on-hand quantities, but omit those items that are on-order, specify N in the On Hand field and O in the On Order field.

To limit by a range of items, enter the beginning of the range in the first field, and enter the end of the range in the To field.

  5. In the Printer field, enter the logical name of the barcode printer to use.

  6. In the Copies field, enter the number of copies to print.

  7. In the Records To Print field, enter the number of records to print. For example, if you enter 50, labels for the first 50 items print. The sorts and limits you set determine which 50 records print.

  8. Tab past the Totals Only field.

  9. The label(s) print according to the specified sorts and limits.
