About Serialized Reports
Several serialized reports are available with the DDMS system. The following are a list of reports available and the information they include:
Preventive Maintenance Calls: You can generate preventive maintenance calls for service contracts. You do this using the [P] Prev action code in the (EZY) Serial Maintenance screen. When you do, you can generate the calls and print the Preventive Maintenance Report, or you can print the To Be Serviced Report without generating preventive maintenance calls.
Maintenance History Report: You print this report in the (EZY) Serial Maintenance Report Selection screen. This report lists information about calls that you log and has two versions: a complete version and a short version. The complete version includes the entire text for each call while the short version includes only the first line of each call's text. Both versions print the location and any sort and limit you set above the column headings.
To Be Billed Report: Before you actually generate billings, we recommend that you print a copy of the To Be Billed Report. This report lists all the systems that to bill when you generate billings. By reviewing the report first, you can make any corrections before you actually bill the customer — you may need to change your report limits or change report date to include all the records, for example.
To Be Renewed Report: Before you renew contracts in the (EZU) Serial Contract Maintenance screen, we recommend that you print a copy of the To Be Renewed Report. This report lists the contracts to renew when you generate renewals. Printing this report first gives you the ability to evaluate a contract for a serial record before you renew it. You can determine its profitability by reporting on consumption of supplies, parts, labor, and so on. You can determine income and cost per copy and decide whether to proceed with the renewal, upgrade the contract, or replace the equipment.
To Be Updated Report: You can use the [U] Update Renewals function without updating contract records in the (EZU) screen. Doing so lets you evaluate a contract for a serial record before you renew it. You can determine its profitability by reporting on consumption of supplies, parts, labor, and so on. You can determine income and cost per copy and decide whether to proceed with the renewal, upgrade the contract, or replace the equipment.
Cancellation Report: You can use this report to see a list of all the expired contracts.
Contract Totals Report: This report shows profit analysis information for your items and contracts. You can print this report and review the profitability of your contracts before you renew them.
To Be Depreciated Report: Since the To Be Depreciated Report lists the items to depreciate, you should print this report before taking depreciation to preview the results.
To Be Transferred Report: Before you transfer deferred income, you should print a copy of this report.
Tech Recap Report: This report shows information about your techs’ work and travel hours, using information that’s displayed in the Tech Recap tab.
Tech Totals Report: This report summarizes monthly work and travel times for your technicians, using information that appears in the Tech Recap Totals and Tech Recap Clicks per Fix tabs.
Service Workorder Journal: The service work order journal stores all the service work order usage and activity information about your machines. You can use it to print reports in the (EZYJ) Workorder Journal Report Selection screen. These reports can show you all the parts you used, including all your labor and travel charges, the machines that needed the parts, and a listing of all the technicians who replaced them.
Use Tax Report: If you don’t pay sales tax on service contracts, but do pay tax on parts you use to service machines, you can use the (EZYJ) screen to print the Use Tax Report. This report lets you track information for specific items. You can set up fields in this screen that allow you to specify the items to track.
Serial Record and Inventory Maintenance Reports: These reports let you view information concerning your serialized inventory. The Inventory Maintenance Report represents a shorter version of this report and lets you view item and customer information. You can also include call history information for each machine. The Serial Record Report, which is the longer version, lets you view more item and customer detail, as well as sales analysis for each machine. You can also include call history information.
(EZZ) Screen Reports: The (EZZ) screen uses the Report Writer format, which offers you the greatest power and flexibility. Using this format, you can include many different pieces of serialized information in your reports.
Note: When printing serialized reports, the Pick Type field displays information using specific codes. These codes are as follows: S=service work order, L=labor, T=travel, X=non-serialized part, P=serialized part, C=contract billing, E=lease, I=trade in, 1-9=meter billing, D=deferred ticket created for deferred sales to the JOUR-S file.
