About Payroll Checks

Released accounts payable and payroll check information is stored in the Cancelled Check File. The check file is maintained through the (QE) Cancelled Check screen.

 

To view information in the Cancelled Check File:

  1. In the (QE) Canceled Check screen, select the [I] Inquiry action code.

  2. In the Loc field, enter the location of the check number to view.

  3. In the Check # field, to view a specific check, enter its check number and press Enter. To view all checks, press Enter.

Updating the Cancelled Check File

The R field in the (QE) screen indicates the status of your returned checks. Each bank statement indicates the checks that are cashed and returned or are still outstanding. You can use it to update your Check File.

 

A check that is written and released to the Cancelled Check file has a status of N in the R field. Status N indicates an outstanding check.

 

Once a check is cashed and returned, you can assign it a status of Y in the R field. Voided checks are assigned a status of Y to indicate they have been cashed and returned.

 

To update the Cancelled Check File:

  1. In the (QE) Cancelled Check screen, select the [U] Update action code.

  2. In the Loc field, enter the location of the check number to update.

  3. In the Check # field, enter a specific check number to update and press Enter. To retrieve the first check in the file, press Enter. Only checks with a status of N display.

  4. In the R field, type Y to indicate a check has been cashed and returned from the bank. Type N to indicate a check is still outstanding.

  5. The next check in the file with a status of N displays. Repeat Step 4 until you finish updating check statuses.

    To update the status of checks for a different location, press Esc. In the Loc field, enter the location number.

    To return to the action code field, press Esc again.
