Machine Detail Concepts

The Toner Yield feature gives you a method to determine the amount of toner a particular machine uses as compared to the manufacturer’s suggested toner yield. Such analysis can greatly help you more accurately determine contract pricing when the contract includes supplies, such as toners. If you provide toner as a covered supply on the contract, you can exclude the color toner. You use the Machine Contract Types Exclusions Tab to exclude up to 20 different items from contract coverage by the contract type and also by contract detail in the Machine Contract Detail Exclusions Tab.

 

To implement this feature, the Item Machine Defaults Critical Parts tab was renamed to the Consumables tab to let you list the toner for the model number. You can indicate the type of consumable, either black and white or color. This tab links the meter number to the consumable item.

 

The system handles two types of meters: black and white, which the system considers meter 1, and the color meter, which is considered meter 2. The color meter (meter 2) can include cyan, magenta, and yellow. However, while multiple color toners can be assigned to the color meter 2, only black toner can be assigned to the black meter 1. In the Item Machine Defaults window, you can have a total of 12 consumables and/or critical parts. Using this tab, you could set up one consumable item for black toner, one consumable for yellow toner, another for cyan toner, and yet another for magenta toner.

 

The Machine Detail Critical Parts tab was also renamed to the Consumables tab. This tab also displays toner yield and on hand information. It displays one record for each consumable for the model you have set up in the Item Machine Defaults Consumables tab, along with the meter reading and date when the consumable was last sold. Information in this tab is stored in the Z-PARTS file. The Machine Detail Consumables tab includes the following information:

If the record did not previously exist, the system automatically creates the record in this tab when a consumable is placed on an order from a billing or a service work order. These boxes are updated with the meter reading and date when the (MA) procedure is performed. At that time, the system also automatically calculates the projected next meter reading and date based on the projected yield from the Item Machine Defaults Consumables tab (stored in the Z-DEFAULTS file).

 

When you complete a work order billing or a supply billing, the system prompts the user for toner on hand quantities and order quantities. You use the Consumables Confirmation dialog box to specify the current toner on hand quantity for the consumable. If you specify Yes in the Replaced box, the Order Qty box displays the order quantity that appears on the customer’s ticket or invoice. The consumable’s meter number also appears in this dialog box.

 

To easily view and report on toner yield analysis, we have added the Toner Yield dialog box to the Machine Detail window. This window lets you select the current Z-JOURNAL file for which to view data, or you can choose an archived journal file. (You re-name and save Z-JOURNAL information when you purge it.) The system lets save up to twelve journalized files in the Serialized Journals Parameters. In addition to selecting a journal, you can also set limits and specify meter reading date information. After you finish setting limits, you can click SAVE-SMALL16.gif and enter a report name. This saves your changes as a report template. The next time you run the report, simply click SIFFILE16.gif to open the Load Saved Limits box and enter the name of the report to view.

 

We have added Toner Yield fields for use with Report Writer. To accommodate the fields stored in the Z-DEFAULTS file, an additional report writer screen has been added: Z-DEF2 (RPT8Z-DEF2). This screen contains the consumables (critical parts), including the meter number. The consumables (critical parts) have been moved to this Report Writer screen from the Z-DEFA file (RPT8Z-DEFA). The meter number, the current on hand quantity and date, along with the previous on hand quantity and date were added to the Z-PARTS Report Writer file. The name has also been changed from Critical Parts to Consumables.

Note: To use the Machine Toner Yield feature, the Update W/O Journal field in the text-based (EZ1J) Serial Workorder Journal Parameters screen must be set to S. If you do not set this field to S, the Toner Yield feature is unavailable. You should also set up the Serialized Journals Parameters in the Parameter Editor window. These journals are used to analyze toner yield data. When you purge data, the file can be re-named and saved to a journal.
