Utilities

The disk utilities are used to maintain your hard disk. Many of the functions available in the (Z) screen are no longer applicable. In the Disk Utilities portion of the screen, the following functions are available:

  1. Double-click graphics\KEYOPMENUICON16.gif.

  2. When the Keyop Menu opens, double-click graphics\SYSTEMUTILITIESICON16.gif. The (Z) Master Utilities screen opens.

  3. In the Enter Utility Type field, type F. In the Enter Subset Number field, type 4. Go to Deleting Single Files.

    In the Enter Utility Type field, type F. In the Enter Subset Number field, type 5. Go to Deleting Multiple Files.

    In the Enter Utility Type field, type F. In the Enter Subset Number field, type 6. Go to Deleting Data Records.

    In the Enter Utility Type field, type F. In the Enter Subset Number field, type 7. Go to Renaming a File.

Deleting Single Files

This function deletes individual files from the disk.

Note: This function does not delete TEMP files. You must delete TEMP files using the [F5] Multiple File Delete function. For instructions, see Deleting Multiple Files.

You should only delete files after business hours and after a backup tape has been made.

  1. The Enter File Name prompt appears. Enter the name of the file to delete. If you do not completely fill the field, press Tab.

  2. In the Enter Unit # field, enter the unit number where the specified file is located.

  3. The Are You Sure prompt appears. Type Y. The system deletes the file and repeats the prompt Enter File Name.

Deleting Multiple Files

This function displays all of the files on a specified disk unit so that you can select the files to delete. This function also automatically marks temp files to be deleted.

Note: Make sure that no printers are running and that all batches are idle in the (Y) System Status screen when you perform this function. In addition, this should only be done after business hours and after a backup tape has been made.

  1. The system displays the Enter Password prompt. Type ITSOK.

  2. The Enter Unit # prompt appears. Enter the number of the disk containing the files to delete. Press Enter.

  3. The system displays all of the files on that unit, along with the Enter X=Delete File, B=Go Back One File, <Return>=Next Page, Else=Keep File prompt. If the unit you specified is your work unit, the TEMP files are automatically marked with an X.

    Mark each additional file to delete with an X. To move the cursor to the next file, press Tab. To move the cursor back one file, press B. Press Enter to go to the next page.

  4. When you tab past the last file, or press Enter at the last page of files, the system displays the files that you marked and all of the TEMP files. The Delete These Files prompt appears.

    To delete the specified files, type Y. The files are deleted from the system individually.

Note: Do not press any key while the deletion is in progress. If you do, the deletion is aborted and the Delete Aborted prompt appears.

When the files have been deleted, the system repeats the prompt Enter Unit #. At this point, you can delete files on another disk unit.

Deleting Data Records

This function allows the deletion of individual data records within a file.

 

WARNING: 

When you delete data records using this function, the system does not save any record that the information was deleted. For example, the deletion is not recorded in the CHANGES file, or any similar file.

Note: If you are unsure of whether you should use this function, call ECi Technical Support Department.

  1. At the Enter File Name prompt, enter the name of the file from which to delete data records. If the cursor does not automatically move to the Enter Unit # field, press Tab. In that field, enter the file’s unit number.

  2. The system displays the first data record in the file, along with the Enter K=Kill Record, I=Search on Keys, Else=Keep Record prompt.

    To search the file using key fields, type I. The system displays the record and redisplays the Enter K=Kill Record prompt.

    To scroll through the file one record at a time, press Enter.

    To delete the record, type K. The system displays the next record and redisplays the Enter K=Kill Record prompt.

    To delete records from another file, press Esc. The system repeats the Enter File Name prompt so that you can specify a different file to delete records from.

Renaming a File

This function changes the name of a file. It is most commonly used to rename the sales journal at the end of the month.

Note: Renaming a file does not change the date of a file or compress it.

  1. In the Enter File Name field, enter the name of the file to rename. If the cursor does not automatically move to the Enter Unit # field, press Tab. In that field, enter the file’s unit number.

  2. The Enter New Name prompt appears. Enter the new name for the file. For example, if you are renaming the sales journal, JOUR-S, for the month of December, you can rename it DEC93-S. If the new name has fewer than ten characters, press Enter.

  3. The File Successfully Renamed To prompt appears.
