Using the (+A) Screen

You can mass delete records for specified customers. This is done by limiting the deletions to a specific range of customer records.

 

Warning: If you have not set any limits, your entire customer database will be deleted.

 

Before you make any mass deletions, it is very important that you understand the fields in the (+A) Special Customer screen. For details on these fields, see In the (+A) Screen.

Note: Before making any deletions to the customer database, you should perform a backup.

When you finish deleting customer records, we recommend that you perform a single file compression to clear the deleted records. For instructions, see Utilities.

  1. Go to the (+A) screen and select the [D] Delete action code.

  2. The cursor moves to the By Cust field. To delete each specified customer record, one at a time, type Y. To delete all specified customer records at once, type N.

  3. You can limit with account numbers. In the Customer From and To fields, you can limit mass deletions to a particular group of customer records by specifying a range of account numbers. Any customer records that have account numbers within the specified range are included in any deletions.

Note:  The default location for mass deletions is location 1. To specify a different location, press Esc while your cursor is in the Customer From field to go to the Loc field. Enter the location for the deletions to be made for and press Tab. To make mass deletions for all locations, press the Spacebar to move through the Loc field. The Loc field does not affect all of the fields in the Select On and Change To columns. The Status, PO Flag, Contract, Tax Flag, Tax District, Discount Type, Discount %, and Remote ID are the only fields that are location-specific.

      If you enter a customer account number in the Customer From field, the cursor moves to the Dept To field. To specify a department for the ending account number, enter the department. To skip specifying a department, tab past the Dept To field.

To skip limiting the deletions to customer records within a particular range of account numbers, press Tab until the cursor moves to the Y-T-D Sales From $ field.

  1. In the Y-T-D Sales From $ and To $ fields, you limit the mass deletions to customer records within a particular range of sales figures. To limit mass deletions to customer records within a particular range of sales figures, specify the range of year-to-date sales to include in the changes.

Note:  Do not enter decimals when entering sales figures.

      To skip limiting mass deletions to customer records within a particular range of sales figures, press Tab until your cursor moves to the Credit Limit $ field.

  1. The cursor moves to the Credit Limit $ field in the Select On column. In the Select On column, you can specify additional limits to include in the deletions. For example, to delete all customers who are assigned a status code C, enter C in the Status field in the Select On column; press Tab to go past the Change To column. To skip setting additional limits using the Select On column, press Enter.

    To set additional limits, tab to any field in the Select On column to use to limit your deletions. Enter the appropriate setting and press Tab to go past the Change To column. To move the cursor back, press the Backspace key. To clear a field, press the Spacebar.

Note:  You can limit by selecting as many fields in the Select On column as you want. However, a customer record must meet all of the limits to be included in the deletions. When deleting records, the Change To column does not apply.

  1. After you have set limits, or move the cursor past the limit fields, the Are You Sure prompt appears.

    Warning: If you have not set any limits, your entire customer database will be deleted.

    To delete all customer records that meet the specified criteria, type Y.

    The system displays the following information for each record that meets the limits you set:

    Customer number
    PO flag
    Department number
    Discount type
    Customer name
    Discount percentage
    Status code
    Contract level
    Salesperson number
    Taxable status
    Route
    Tax district
    Location
    Remote ID.

    If you specified N in the By Cust field, the system deletes all the records that meet the limits you set, displaying each record in turn.

    If you specified Y in the By Cust field, the system displays information for each record that meets the limits you set, one at a time. For each customer record, the Delete This One prompt appears. To delete the displayed record, type Y.

    After deleting the displayed record, the system displays the next customer that meets the limits you set and repeats the Delete This One prompt.

  2. When all of the customer records have been displayed, the End of Records Any Key to Continue prompt appears.
