Item Mass Changes

You can set maximum discounts for items in the Max% box in the Item database. When you use this function, the system determines the maximum discount on each item according to the minimum gross profit percentage you need to make on the item and the cost that you specify. Setting maximum discounts is a way of protecting your gross profit margin on items. The system compares the cost and list and determines the amount of discount allowed to maintain the gross profit percentage that you specify. The system automatically enters the discount percentage in the Max % box in the Items database. If the current cost and list already cause the item to fall below your specified gross profit percent, the system sets the Net field to Y. When an order is placed for an item that falls below the specified gross profit percentage, the system prompts the order-writer. The order-writer may override the selling price, the percent, or accept the default price.

Note: You should run this function each quarter after item updates have been loaded.

  1. To access the specials screens, double-click graphics\KEYOPMENUICON16.gif, then double-click graphics\SPECIALSICON16.gif. The (+) Special Programs screen opens.

  2. Type E, Modify Inventory Records. The (+E) Special Item screen displays.

  3. Type N to open the (+EN) screen. The This Program Will Set Discount Enter Minimum G.P. With Decimal 33.00% prompt displays. Enter the minimum gross profit percentage to make on an item. This percentage and the cost are used to determine the maximum discount. The default percentage is 33 percent.

Note:  You must enter a decimal point.

  1. The Which Department to Set prompt displays. Specify the item department for which to set maximum discounts. To set maximum discounts for all departments, press Tab and leave the field blank.

Note:  If the Dept field in the Pricing Record is blank in an item record, the system uses the department set in the Dept field in the Master Record.

  1. The Which Class To Set prompt displays. Specify the stock class for which to set maximum discounts. To set maximum discounts for all stock classes, press Tab and leave this field blank.

Note:  If the Class field in the Pricing Record is blank in an item record, the system uses the stock class set in the Class field in the Master Record.

  1. The Cost to Use prompt displays. At this prompt, you specify the cost the system uses when determining the maximum discount. This cost and the gross profit percentage you specified earlier are used to determine the maximum discount. To specify the current manufacturer cost, type M. This cost is displayed in the Cost field in Direct Buy Record in the (E) screen. To specify the current wholesaler cost, press Enter or type W. This cost is displayed in the Cost field in the Wholesaler Record in the (E) screen. To specify the average/actual cost, type A. This cost is displayed in the Cost field in the Pricing Record in the (E) screen.

  2. The Which Location to Set prompt displays. Specify the location for which to set maximum discounts. To accept the default location, press Tab.

  3. The Select Each Record prompt displays. Specify whether to set maximum discounts for each item record individually or all at once. To set each maximum discount one at a time, type Y. To set all maximum discounts at once, press Enter or type N.

    The system displays the following information for each record: Item number, Description, and Company.

    If you specified N at the Select Each Record prompt, the system changes all of the records, displaying each record in turn. If you specified Y at the Select Each Record prompt, the system displays the information for each record, one at a time. The Process this Record prompt displays. To set the maximum discount for the displayed record, type Y.

  4. The system sets the maximum discount for the displayed record, displays the next record, and repeats the Process the Record prompt. To not set the maximum discount for the displayed record, press Enter or type N.

  5. The system displays the next record and repeats the Process This Record prompt. When all of the records have been displayed, the Program Completed, Do You Wish To Run Again prompt displays. To repeat the program for other items, type Y.

  6. The cursor returns to the Enter Minimum G P prompt. You can repeat this procedure for other items. To not repeat the program for other items, press Enter or type N.

In the (+E) Screen
