Item History Basic Procedures

When you delete an item record in the Item History window, the record for that item is deleted from the item master file, as well as, from all related inventory files. However, the order entry, sales journal, purchasing, serial, contracts, and alias files are not changed when you delete the item. This means that if records in these files use the deleted item, these records become useless. These records remain in the associated files; there is no way to purge them. When this occurs, reports that include the deleted item print NOT ON FILE in place of the item description.

Note: To protect against accidental deletions, make a backup copy of the file I-MASTER before deleting item records.

  1. Double-click graphics\INVENTORYICON16.gif. The Item window opens, displaying the information for the last item selected.

Tip: Click the Location box and enter the location for the item, if it is not already displayed. If the Location box is not displayed in the toolbar, right-click the toolbar and select Location.

Note: These boxes update according to inventory location if the Update "I-AUX" Sales for Inventory Location field in the (LE1) Inventory Parameters continuation screen is set to Y. If the (LE1) screen is blank or set to N, these boxes update according to General Ledger location and are location specific. For information about using the (LE1) screen, see In the (LE1) Screen.

  1. Select the item for which to view history. If you need instructions, see Selecting an Item.

  2. Click graphics\HISTORY16.gif. The Item History window opens, displaying the information for the item you selected.

  3. To delete item history for this item, click DELETEX16.gif.

  4. The Delete Password dialog box opens. If a password has been set in the Delete field in the (LE) Inventory Parameters screen, enter the password. If the password is fewer than four characters, press Enter. If no password has been set in the (LE) screen, press Enter.

  5. The Are You Sure You Want to Delete dialog box opens. Click Yes to delete the item history. Click No to not delete the item history.
