Auto Billing

If a customer has a standard monthly charge, such as machine rental fees or maintenance fees, you can enter this as an auto bill item.

  1. Double-click graphics\CUSTOMERICON16.gif. The Customer window opens, displaying the information for the last customer selected.

  2. Select the customer for which to set up with auto billing. If you need instructions, see Selecting a Customer.

  3. Click graphics\AUTOBILL-SMALL16.gif. The Auto Billing Items dialog box opens.

  4. Click graphics\ADD_A_RECORD16.gif. The Auto Bill Detail dialog box opens.

  5. To find the item for which to auto bill the customer, click Find Item. The Item Query dialog box opens.

  6. Find the item by scrolling up and down the list, using the query feature, or using the Catalog Explorer. For more information on item query, see Using the Item Query Dialog Box. For more information on using catalog explorer, see Using the Catalog Explorer in the Item Query Dialog Box.

  1. When the desired item is displayed, you can select it in two ways. Double-click the item to select it then highlight the item and click OK (or select in Catalog Explorer) or press Enter to select it.

Note: To exit from the Item Query dialog box or Catalog Explorer without selecting an item, click Cancel.

  1. The Auto Bill Detail dialog box opens and displays the information for the item you selected. In this dialog box, you enter all the information for the auto billing. Click each box to enter the necessary information. For information about the boxes, see In the Customer Auto Bill Detail Dialog Box.

  2. After you complete the information in the Auto Bill dialog box, click Apply to add this auto bill information or click Close to exit the dialog box without saving changes.

  3. If you clicked Apply, the auto bill information displays for this customer in the Auto Billing Items dialog box. At this point, you can add another auto bill item for this customer. When you finish adding auto bill items, click Close to exit the Auto Billing Items dialog box.

  4. Click graphics\SAVE-SMALL16.gif in the Customer window to save the auto bill information.
