About Correcting the Daily Audit

  1. Go to the (PDA) screen and recheck the Total $ figure. If someone printed an invoice or posted a payment in the Accounts Receivable Posting window between the time you printed the batch report and the time when you checked the Total $ field in the (PDA) screen, today's accounts receivable total is off.

Note: When viewing totals in the (PDA) screen, be sure you are viewing totals for the correct day.

  1. Reindex the customer database.

  1. Run an Age-Only Trial Balance Report. Do not limit the report in any way. For instructions, see Reports Menu.

  1. Go to the (PDA) screen to perform the audit once again.

If the A/R total still does not balance, continue by doing the following.

  1. From the (+B) Modify A/R Records screen, select the [V] Verify Customer Nbr function. This function searches the database for customers with outstanding accounts receivable that have been deleted from the customer database. If such customers exist:

  2. Add the customer to the database through the Customer window. Make sure to use the same account number that the customer had before deletion. For instructions, see Adding a Customer.

  3. Reindex the customer database.

  4. Run the Age-Only Trial Balance Report.

  5. Go to the (PDA) screen to perform the audit once again.

  1. Perform a single-file compression on the following files: AR-MASTER, C-MASTER, C-AUX, PD-BA-DAY, and PD-BA-YTD.

  2. Reindex the customer file and run the Age-Only Trial Balance Report once again.
