Posting Credits

  1. Double-click graphics\AR_POST_ICON16.gif.

  2. Select the customer. For details, see Selecting a Customer in Accounts Receivable.

  3. In the Batch Information dialog box, specify the batch number, posting date, and Control G/L number. Click OK. For instructions, see Specifying Batch Information.

  4. Click arinvoiceselection.gif.

  5. The A/R Posting Invoice Selection dialog box opens. The cursor moves to the Check # box.

  6. To specify a cash or check credit, enter the customer's check number or the word CASH for cash transactions in the Check # box. You can enter up to eight characters.

  7. To post a credit using a credit card, click View. The Credit Card Information boxes open at the bottom of the window, listing all the credit cards currently set up for this customer. Enter the credit card information in the appropriate boxes.

  1. When you finish, click Hand Mark.

  2. The customer's outstanding invoices open in the bottom section of the Payments tab. Click arpost.gif.

  3. At the You Have Not Applied All of the Available Funds message, click Yes.

  4. The Post Remaining Amount dialog box opens, along with the default credit number. When this dialog box opens, you can change the credit number or you can accept the default. When you finish, click OK.

  5. If you are not posting a credit with a credit card, go to Step 11.

If you're posting a credit with a credit card, the Approve message appears. This message lets you specify to have the customer's credit card approved before posting. If you specify to approve the card, enter the approval code to proceed. If you specify not to approve the card, the credit is automatically posted.

Note: If you have posted credit card payments for this customer in the past and have entered the approval code, click On File to use the approval code previously entered.

  1. The credit is posted, and the Complete message appears. Click OK.
