Sometimes you may want to provide your staff with additional instructions when they complete specific transaction postings. Suppose a customer that has been doing business with you for five years has always paid his account on time. If the customer happens to make a late payment, you may still want to provide the usual discount. To convey this information to the employee who processes the payment, you can create a special line of customer text.

 

Similarly, if your accounts receivable department has any questions about how to apply a customer's payment, you can include a contact name and number from the customer's accounts payable department as a customer account text special. This eliminates the time it takes to research this information.

 

Invoice specials are functions that let you add explanatory messages. With this feature, you can add special text to a particular invoice. For example, if you are going to post your beginning balance in one lump sum, you'll probably want the ability to track the original beginning balance. To mark this invoice, you can create a special line of text when you post it, noting the invoice numbers that this lump sum consists of.

 

Or, you may have to make a manual charge posting. Since most charge postings are generated through the Order Entry application, your accounts receivable department may question a manual charge posting. To eliminate any confusion, you can specify a line of special text that describes the posting transaction.

Note:  Customer notes and invoice specials print after invoices on trial balance reports; however, they do not print on statements.
