Serialized Concepts

The Serialized module allows you to easily track machines that are under warranty. When you sell or lease a machine in serialized order entry, you have the option of creating a warranty record for the item. If you do, the system automatically sets up a record for the machine in the Contract Detail Contract tab. At the time of the sale, you can enter the manufacturer’s or dealer’s warranty beginning and ending dates. You can also indicate whether the warranty covers parts, labor, or both. If the machine you sell includes meters, and the manufacturer’s warranty period expires by clicks instead of dates, you can enter the maximum number of clicks the warranty period includes, along with the machine’s current meter reading.

Note: You can set up warranties for machines that you sell or lease.

If the machine includes meters, the system also automatically creates a meter record in the Contract Detail Meters tab and enters the starting meter reading and date. If you specify that the manufacturer’s warranty period expires by clicks, the system enters the total number of clicks before the warranty expires.

 

To track cost and income from the time of the initial sale, the system also creates a record for the machine in the Contract Detail History tab. (At the end of the warranty period, if you sell a service contract for the machine, the system moves any warranty information from the Contract Detail History tab to the Contract Detail Renew History tab.)

 

While you can consider this warranty information as a type of warranty contract, the system does not treat this record as a typical service contract. For example, when you sell the item, you are not prompted to enter a contract type. The Contract box in the Contract Detail Contract tab is blank for this item. In addition, you cannot bill or renew this warranty contract as you do other service contracts. This new warranty method is designed to let you track the item’s cost, income, and meter information while it’s still under warranty — from the time of its initial sale.

 

When you log calls for machines under warranty, the system displays the text Warranty Only in the Contract Detail Contract tab. In addition, if you attempt to log a call for a machine whose warranty is expired, the system displays a warning prompt, notifying you that the warranty is expired. However, you can continue to log a billable work order for this machine.

 

To help you track items under warranty, a new report has also been added to the (EZY) Serial Maintenance Report Selection screen. The Machine Warranty Status Report lists all the machines whose warranty dates are nearing expiration. Using this report, you can contact the customer to discuss selling a service contract before the warranty period expires. You print this report using the new [T] Wty action code in the (EZY) screen.
