Item Aliases Basic Procedures

EDI aliases apply to only the customer for which they are created. Your EDI customer may use item numbers and units of measure that do not match the item numbers and units of measure of your items. Setting up EDI aliases automates the process of converting your customer's item numbers and units of measure to your item numbers and units of measure.

  1. From the Item database, click itemaliasicon.gif. The Item Alias dialog box opens.

  2. Click the Customer option under Alias Types. The Customer Query dialog box opens.

Tip: Click Find Customer to open the Customer Query dialog box and select a different customer at any time.

  1. Select the customer for which you want to add an EDI alias. If you need instructions, see Selecting a Customer. The Customer Number, Department and Name boxes are filled in with the information for the customer you select.

  2. Click graphics\ADD_A_RECORD16.gif or click Find Item. The Item Query dialog box opens.

  3. Select the item for which to add an EDI alias. If you need instructions, see Selecting an Item. The Adding Item Alias dialog box opens displaying the Customer ID and Name for the company you select and the Item Number, Company, and Description for the item you select. The Alias box is highlighted.

  4. Type the EDI alias in the Alias box.

  5. If this alias requires multiple units of measure, follow the steps below. If not, go to Step 8.

Example: Your EDI customer orders pencils individually (EA). You sell pencils by the box of 12 (BX). You must divide your unit of measure by 12 to obtain the customer's unit of measure. Specify EA in the UOM box, D in the Factor box and 12 in the Quantity box.

Note: The Factor and Quantity boxes work together to calculate the ratio between the customer's unit of measure and your unit of measure.

  1. Click OK to accept the information you entered and return to the Item Alias dialog box.

Note: Click Exit to cancel the information you entered and return to the Item Alias dialog box.

  1. Click graphics\SAVE-SMALL16.gif in the Item Alias dialog box to save the EDI alias.

  2. Click graphics\CLOSE16.gif to exit from the Item Alias dialog box.
