Mass Changes in General Ledger

To set up multiple locations, you must copy your chart of accounts. This is done in the Chart of Accounts Special dialog box. For more information, go to In the Chart of Accounts Special Dialog Box. If you have more than one location, you must use the same chart of accounts structure for each one.

 

To copy your chart of accounts to multiple locations, you must first set the chart of accounts for location 1. Then you copy this chart of accounts to each location.

 

Also, if you have multiple locations, you should copy the chart of accounts to location 00. Location 00 is used as a summary chart of accounts that lets you inquire on all locations.

 

Whether you have multiple locations or not, we recommend that you copy your chart of accounts to location 99 before you go live on general ledger. If you add locations in the future, you can copy this unused chart of accounts to the new location.

 

When you copy a chart of accounts, information from all of the fields in the Chart of Accounts Master window, including carry forward amounts and balances from the Budgeted, This Year, and Last Year columns are copied. However, this information may not pertain to all of these locations. If this is the case, you should zero out any amounts in the chart of accounts for the new location.

  1. In the DDMS Master Menu, double-click G-LICON16.gif.

  2. In the General Ledger menu, double-click CHART-OF-ACCTSICON16.gif.

  3. From the Chart of Accounts Master window, click View then select Special Functions.

  4. In the Chart of Accounts Special dialog box, you can select accounts to change, copy, delete, reset totals, transfer, or clear balances. For more information, see In the Chart of Accounts Special Dialog Box.

    To copy an account, use the drop down arrow in the Action box to select Copy Records.

  5. In the From Account and To Account boxes, you can limit the modifications or inquiries to records within a particular range of account records. In the From Account box, enter the account numbers or click FIND_A_RECORD16.gif to query.

  6. In the To Account box, enter the new account number to which to copy.

  7. Enter the Fiscal year, if necessary.

  8. Click the Review button.

  9. The information you specified appears in the bottom portion of the screen. You can use the buttons at the bottom of this dialog box to select or deselect the information to change. To make the changes, click the Execute button.

  10. The Are You Sure You Want to Copy Records dialog box opens. Click OK.
