Auto Billing

  1. Add an item for the charge or service in the Item database. For instructions on adding items, see Adding an Item.

  2. After you have set up the charge as an item, you set up the item for auto billing. You set up auto billing for each customer through the Auto Billing Items dialog box. For each customer, you can add as many auto bill items as you need. DDMS stores the information about auto billing in the file C-AUTO.

  3. Before you begin creating auto billing information, you might also set your auto bill parameters. Auto bill parameters are set in the (LG3) Order Entry Pricing Parameters screen and the (LA) Customer and A/R Parameters screen.   4. Before creating auto billing, you may also want to categorize the types of things for which you use auto billing. This allows you to track and sort your auto billing information, and to group items together on invoices. For example, you might establish a category for your rental items, services, and maintenance agreements.

  5. Once you establish your categories, you can assign each category a group code. You should keep your own account of which category corresponds to which group code. When you add an auto bill item, you can specify the group code for that item in the Group box.

  6. When you have set your auto bill parameters and established your group codes, you can begin adding auto billing information. You can add auto billing information at any time. For details, see Adding an Auto Bill Item.

  7. You can create a customer's auto bill invoices after you have set the customer up with an auto bill item.
